About the role

We are seeking a detail-oriented and collaborative HR Generalist to support daily human resources operations for a growing Architecture/Engineering firm with approximately 2,100 employees across multiple states. This role provides administrative and operational support across a variety of HR functions, including onboarding and offboarding, employee relations, compliance, HR data management, and personnel administration. The candidate hired for this position will sit in our Rochester, NY, Albany, NY or Charlotte, NC office and will report to LaBella's Human Resources Director.

The ideal candidate is highly organized, customer-service focused, and comfortable managing multiple responsibilities in a fast-paced professional services environment.

Key Responsibilities

  • HR Administration & Employee Support
    • Respond to employee inquiries regarding HR policies, procedures, and employment-related matters.
    • Assist managers and employees with HR forms, documentation, and personnel processes.
    • Assist as back up to HR Admin for limited day-to-day activities.
    • Maintain confidentiality of employee information and sensitive HR matters.
  • Onboarding & Offboarding
    • Administer new hire 30-60-180 day check in process; compile themes and patterns and provide reports to HR Business Partners and management as applicable.
    • Administer employee offboarding and exit processes, including exit interviews, separation paperwork, system notifications, and record updates.
    • Coordinate final documentation and communication related to employee separations (last day emails, termination emails)
  • HR Compliance
    • Manage and maintain I-9 compliance in accordance with federal requirements, including timely completion, reverification, audits, and record retention.
    • Assist with compliance tracking related to immigration and other required employment documentation.
    • Coordinate Unemployment process with partner vendor, HR business partners, managers, and other stakeholders, providing regular tracking and reporting.
    • Support adherence to federal, state, and local employment regulations across multiple states.
    • Maintain employee files and HR records in compliance with company policies and legal requirements.
  • Employee Relations Support
    • Provide administrative and coordination support related to employee relations matters.
    • Assist with documentation, tracking, and follow-up for performance management and corrective action processes.
    • Support HR Business Partners with workplace investigations and employee issue resolution as needed.
  • HRIS, Data Entry & Reporting
    • Maintain accurate employee data within the HRIS and other tracking systems.
    • Perform regular HR data entry, audits, and updates related to personnel changes, FLSA status, compensation, promotions, transfers, and terminations.
    • Prepare reports and spreadsheets to support HR operations and leadership requests.

Salary Range: $53,000 - $68,000 per year

The specific salary offered may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.

Requirements

  • Education & Experience
    • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
    • 1 – 3 years of human resources or HR administrative experience required.
    • Experience supporting multi-state employee populations preferred.
    • Experience in architecture, engineering, construction, consulting, or other professional services environments is a plus.
  • Skills & Competencies
    • Strong organizational skills with high attention to detail and accuracy.
    • Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.
    • Strong interpersonal and customer service skills.
    • Ability to handle confidential information with professionalism, discretion, and sensitivity.
    • Proficiency in Microsoft Office Suite, particularly Excel, Teams, SharePoint, Power Point
    • Experience with HRIS systems and electronic onboarding/I-9 platforms preferred.
  • Work Environment & Travel
    • Hybrid work environment may be available based on business needs.
    • Occasional travel to regional offices may be required.
