General Description of the Job Class

Provide high-level administrative support to the department of pharmacy across all of Duke Health for various human resource (HR), orientation, onboarding, and benefits related topics.  Apply knowledge and skills to resolve complex problems independently or with others

 

Duties and Responsibilities of this Level

Serve as a resource on human resources matters, provide guidance, assistance, and support to management, supervisors, and employees.

  • Process Labor Management Requests (LMRs) for all areas of pharmacy including iForm submissions to manage requisitions in coordination with Talent Acquisition
  • Conduct onboarding and orientation activities for new hires within the departments of pharmacy across DUHS
  • Produce status change letters (FTE adjustments, pay rate changes, premium updates, and secondary positions) that are not processed through Success Factors
  • Completes regular auditing of pharmacists premiums and supplemental pay practices
  • Act as the DUHS department of pharmacy’s point of contact for Payroll, API, Corporate HR, Talent Acquisition, and Talent Care Center teams.
  • Participates and assists in the preparation for departmental annual FTE budget planning process.
  • Demonstrate knowledge of internal HR information via the ability to research, comprehend, and communicate Duke Policies and regulations.
  • Maintain and build relationships with Duke Corporate Payroll, Performance Services, Reward & Recognition, API/Time & Attendance, DHTS/IT and other appropriate offices and departments in order to respond to personnel problems, issues, and special requests.
  • Address questions with detail, accuracy, and completeness, via written, verbal, and electronic communication.
  • Advise employees and managers on FMLA related policy, guidelines, and eligibility criteria.
  • Provide detailed and clear guidance on submission of leaves of absence requests.
  • Complete license verifications for new hires and annually for all staff.
  • Provides cross over support for department administrative assistants as needed.
  • Maintain required personnel and HR files in accordance with regulatory requirements
  • Perform other related duties incidental to the work described herein.

Minimum Qualifications 

 

Education 

High School education or equivalent with five years of administrative support experience of increasing variety, complexity, and demonstrations of work leadership. Or two years of post-secondary education with three years of experience. Or an equivalent combination of relevant education and/or experience
