We are looking for an Executive Administrative Assistant to join our Employee Benefits Team team on a Hybrid work schedule.

 

 

SUMMARY OF RESPONSIBILITIES: 

 

We are looking for a detail-oriented and proactive Executive Assistant to support our Operations team in Fall River, MA. This role is integral to keeping day-to-day operations running smoothly, providing administrative, data, and project support across a fast-paced insurance environment. 

 

SPECIFIC RESPONSIBILITIES: 

  • Schedule and coordinate appointments, meetings, and team logistics 

  • Prepare agendas, take meeting notes, and distribute action items following meetings 

  • Coordinate travel arrangements for leadership as needed 

  • Draft and proofread internal communications and memos 

  • Prepare, analyze, and maintain spreadsheets and reports 

  • Pull and distribute recurring operational reports  

  • Maintain tracking logs for renewals, submissions, and key deadlines 

  • Provide ticketing support for the agency management system 

  • Maintain electronic filing systems, document version control, and SharePoint/Teams site content 

  • Assist with the design and production of marketing materials 

  • Support data cleanup initiatives in coordination with the operations support team 

  • Maintain Power of Attorney records for Registry Support 

  • Assist with processing invoices, expense reports, and vendor correspondence 

  • Support new employee onboarding processes 

  • Perform other duties as assigned by management
