About the role

Under the leadership of the Director of Administration for the Public Health & Health Administration graduate programs at the Icahn School of Medicine at Mount Sinai (ISMMS) and in collaboration with the faculty program directors, the Program Manager will perform the duties listed below.

Class Matriculation & Progress

  • Meet with current students and advise on program processes and requirements
  • Track students’ progress in the programs to ensure satisfactory progress
    • Review student registration each term to ensure compliance with satisfactory academic progress, F-1 full-time status, and eligibility for federal financial aid; if necessary, contact students to request changes to registration; assist students with resolving registration holds, by liaising with student financial services, student health, and other campus offices.
    • Review student grades each term; in partnership with faculty leadership, meet with students who fail to meet the standards of satisfactory academic progress and design a learning remediation plan
    • Liaise with International Personnel Office to ensure that all international students are in compliance with all visa requirements
    • Maintain and update a list of potential research mentors available to work with students on Master’s theses or PhD dissertations; ensure such mentors are appointed as GSBS faculty
    • With program leadership, assist PhD CR students in identifying members of the Multidisciplinary Advisory Committee (MAC)
    • Attend and assist with the scheduling of dissertation proposal and dissertation defenses; Ensure defense policies and procedures are followed by the MAC, and ensure all defense paperwork is properly completed (registration form, voting form, revisions, etc.)
  • Plan weekly Onboarding Sessions for new students throughout the Fall term; Work with Program Directors to identify and schedule institutional guest speakers; attend and participate in Onboarding sessions
  • Liaise with faculty, program leadership and GSBS senior leadership to resolve student matters involving academic integrity, mental health, discrimination, harassment, or unprofessional conduct
  • Communicate with the student body periodically regarding important deadlines and to ensure compliance.
  • Administer CLR tutoring program; recruit qualified tutors among senior graduate students; match tutors with students seeking tutoring; arrange for tutor payment
  • Assist with checking out students for degree conferral/graduation and work with registrar’s office to ensure that records are updated
  • Track compliance with completion of Masters and PhD theses
  • Collaborate with Student and Postdoctoral Affairs staff on the planning of events such as New Student Orientation, Masters/PhD Commencement, and Admitted Students Day
  • Manages Leave of Absence and Return from Leave of Absence process; counsels students on leave policy, processes leave paperwork, communicates with students on leave regarding return requirements
  • Directs awards and prizes selection process, including Best Master’s Thesis, CLR Leadership award; Conference Travel Award and MCAT reimbursement
  • In collaboration with Program Directors and faculty, ensure appropriate course scheduling.

Faculty Support

  • Work with faculty to schedule courses
  • Ensure all courses are properly set up in Learning Management System (Blackboard)
  • Provide guidance and support to faculty involved as academic advisors, thesis advisors and PhD committee members
  • Advise faculty, research mentors, and dissertation chairs regarding Graduate School and CLR program policies and procedures
  • Assist faculty and Program Directors in formulating new course proposals
  • Manages Teaching Assistant request process; when necessary, assists faculty with identifying an appropriate TA for a course; Approves TA hours and final payments
  • Work with program leadership to identify replacements and/or to make curricular changes when teaching faculty step down from their role
  • Manages 360-degree course evaluation process; with program director, schedules and meets with program Course Directors each term to review student course evaluations and reflect on successes and challenges.
