PACT (Program for Assertive Community Treatment) is an intensive and highly integrated approach for community mental health service delivery. The multidisciplinary team shares a caseload of individuals who experience symptoms of the most serious forms of mental illness, predominantly but not exclusively the schizophrenia spectrum disorders. Many individuals also experience substance abuse, victimization and trauma, psychiatric hospitalizations, arrests and incarceration, homelessness, and additional significant challenges. The symptoms and complications of mental illnesses lead to serious functioning difficulties in several areas of life, often including work, social relationships, residential independence, money management, and physical health and wellness.

Essential Duties & Responsibilities:

  • Answers incoming telephone calls, determines purpose of call, and forwards calls to appropriate personnel or department. Processes messages and voicemails per program procedure.
  • Greets and communicates with clients and visitors in a professional, trauma-informed manner.
  • Opens and closes clinic according to established policies, procedures, and protocols.
  • Checks in arriving clients for appointments in an efficient manner and notifies staff of patient arrival; verifies insurance information; directs clients to appropriate locations for services requested.
  • Maintains accurate client information in system; updates benefits, address, or other demographic information as needed.
  • Manages the daily calendar for the PACT team, including scheduling and updating appointments, reminder calls, and maintaining provider scheduling templates.
  • Alerts appropriate staff to client needs, behavioral escalations, or emergency situations in the lobby or over the phone. Monitors access to building by visitors and delivery persons, checking in arriving visitors and issuing a visitor identification badge, directing visitors to the appropriate locations for meetings or business contact.
  • Maintains phone system, fax machines, and other office equipment calling on repairs as needed.
  • Requests, receives, and maintains office supplies as needed.

Position Summary

The Senior Administrative Assistant ensures the efficient and smooth day-to-day operations of an assigned department by providing a variety of complex administrative support functions involving highly sensitive and privileged information. A broad range of responsibilities generally include maintaining work schedules; arranging for conference attendance and travel needs; organizing meetings; composing and or editing memos; preparing meeting materials; tracking and reporting on financial and operational metrics; creating spreadsheets and presentations; monitoring budgetary data; handling administrative requests and queries; interpreting departmental and/or corporate policies and procedures and coordinating special projects.

Requirements

  • Minimum two (2) years of college or successful completion of a vocational secretarial course
  • AA or BA degree preferred
  • Minimum five (5) years of high level administrative assistant or secretarial experience
  • Previous administrative assistant experience in a health care setting preferred
