Job Description

We are actively seeking a highly organized and detail-oriented Administrative Support Specialist to join our dynamic team in Rochester, MN. This role will be pivotal in providing essential administrative support to key team initiatives and ensuring the seamless operation of day-to-day activities for teams in Rochester, Longmont, CO and Chandler, AZ. The ideal candidate will play a crucial role in managing conflicting priorities, coordinating events, and contributing to the organization of strategic initiatives to enhance the overall efficiency of the various sites.

Key Responsibilities

  • Meeting and Event Support:  Organize site-specific meetings/events and Company-wide AHM meetings by reserving meeting rooms and coordinating catering services for Rochester, Longmont and Chandler sites.
  • Financial Administration:  Contributing to the seamless financial operations of the three locations. Prepare purchase orders which may include researching options for, requesting quotations and scheduling appointments with vendors. Help vendors follow the WDC process for submitting invoices to ensure timely payment for products and services. Support employee questions/issues on expense reports.
  • Office Management:  Manage office and conference room reservations for visiting executives. Maintain and replenish office supplies for the three locations, working with local representatives for the remote sites. Manage local service providers for the three sites (coffee vendor etc). Ensure Rochester site remains a professional and welcoming environment for employees and visitors.
  • Organization Communications:  Facilitate effective organization-wide communication strategies to enhance internal collaboration and information sharing.
  • Giving back to our Communities: Coordinate volunteering activities – blood drives, food/toy drives and on-site volunteering activities such as Rise Against Hunger.

Qualifications

  • A High School diploma is required for this position.
  • A Bachelor’s degree preferred.
  • Should have at least 4 years of administrative work experience
  • Must be capable of working in a team environment.
  • Must be a detail oriented, self-starter and able to work with little supervision while maintaining goals/tasks.
  • Should have strong PC skills to include all MS Office products.
  • Must have good written and verbal communication skills and be able to effectively communicate with staff, management, customers and vendors.
  • Must be able to present self in a professional manner through interaction and communication.
  • Must possess sound reasoning skills and have the ability to follow directions.
