Role description:

Arcadis is seeking an Entry-Level Project Assistant to join our team in supporting technical project administration work for multiple project managers in addition to general administrative support to our White Plains, NY office. 

This is an exciting opportunity for a self-motivated individual to join our team locally with support from one of the best-qualified consulting firms in the country.  In this position you will work on project-specific work, such as: tracking progress of various projects, preparing reports regarding contracts for management use, arranging meetings, monitoring schedules, project budgets and preparing and distributing routine correspondence related to the projects, for project teams simultaneously.

Role accountabilities:

As a Project Assistant you will assist project managers with the review, production, and delivery of meeting notes, summary reports, presentations, and other non-technical deliverables. You will regularly use Microsoft Office Suite and other technical platforms to aid in preparing, formatting, and assembling of deliverables; upload deliverables to client sites, develop and maintain electronic project team sites. Interaction and communication with internal and external stakeholders will also be a regular part of your responsibilities.

You will also be required to:

  • Maintain required certification documents and coordinate with staff regarding weekly time and expenses.
  • Assist with typical duties such as but not limited to setting up meetings, answering phones, making travel arrangements, helping direct incoming calls, and document production.
  • Work on multiple projects/tasks simultaneously and manage multiple/simultaneous deadlines.
  • Perform file management and various other administrative duties as needed.
  • Demonstrate productivity, effectiveness and excellent communication (both written and verbal) while working both independently and within a team.

Qualifications & Experience:

Required Qualifications:

  • Bachelor or Associate degree in Communication, Business Administration, or related field or equivalent experience.

Preferred Qualifications:

  • 1-3+ years of related experience.
  • Finance background or coursework.
  • Previous technical/administrative experience in a fast-paced setting; with strong computer skills, and a high level of competence in Microsoft Word, PowerPoint, Outlook, and Excel.
  • Highly motivated with a desire to pursue continual innovative improvements in processes.
  • Exceptional time management and organization skills with the ability to work under time constraints and prioritize/ plan work, while working on multiple tasks for several projects/ managers simultaneously.
