PMC: Logistics Manager, Import/Export

Penske Media Corp. (PMC), the parent company of brands including Rolling Stone, The Golden Globes, Billboard, Variety, Robb Report, and many others, is hiring an Import/Export Logistics Manager to be based in Miami, FL to manage the import/export/freight logistics and marketing for one of PMC’s real estate investments, Torch Cay, in Little Exuma, Bahamas.

In this highly visible role, the Import/Export Logistics Manager will also be heavily involved in sourcing, purchasing, and guest services alongside the marketing and logistics responsibilities.

Import/Export

• Coordinate all activities related to cargo pick up from any point in the U.S. and delivery to ports of export, request bookings with airlines, AES filing, export documentation (commercial Invoices, etc.)
• Preparation of import/export documentation in accordance with U.S. regulations and in compliance with government agencies for each shipment
• Utilizing in-house systems to produce shipping documentation
• Coordinate routing of all outbound export shipments and send pre-alerts to destination offices and agents in a timely manner
• Monitoring shipment progress/update milestone
• Handling documentation, tracking, shipment status updates, customs release, ISF input, data entry
• Working with various vendors, shippers & consignees
• Develop and implement strategies to improve efficiency and reduce costs
• Assist team and work with air/ocean/trucking/freight forwarders & nvocc's as needed with bookings
• Work with team to coordinate with shippers, vendors, and customs brokers to provide service delivery of goods
• Ensure compliance with all relevant regulations and standards in operations
• Tracking, tracing, and updating the status of shipments on a daily basis
• Maintaining good relationships with various vendors such as carrier, truckers, terminals, and etc.

Logistics

• Serves as the point person for all Miami-based freight forwarders while directing sail schedules.
• Leads and supervises the global movements of high-value cargo (including art, equipment, and materials) until safe arrival at Torch Cay.
• Manages imports into the Nassau or Miami Port and directing clearance; organizing sail documents and working closely with U.S. or Bahamas custom brokers for clearance.
• S. Ground Transportation/Local Pick Ups
• Manage ClickUp page and lead weekly team meetings
• People:
• Schedule travel for technicians and service providers. Including flights, accommodations, and work permits if needed; book private charter flights when necessary
• Heavy Equipment Maintenance: Responsible for scheduling technicians to service and treat all heavy equipment before it sails to Torch Cay.

Procurement

• Responsible for sourcing and purchasing all cargo needed from outside of the Bahamas. Includes:
• Sourcing/Purchasing for on-site team needs – construction & facilities
• Special Projects/High Value Items
• Manage the high priority and hyper-customized projects from conceptualization, sourcing and purchasing to final arrival at Torch Cay
• Locate vendors, gather quotes, and negotiate prices.
• Work with AP for payments through Concur.
• Work closely with PMC’s legal team and insurance brokers to ensure all high value items are insured upon arrival at Torch Cay

Marketing

• Work closely with PMC’s creative team and oversee creative design for marketing content, website, promotional assets, on-site branding materials, etc.
• Write copy for website, newsletters, guest booklets, marketing materials, etc.
• Run Torch Cay’s Instagram page.

Guest Services

• Support the island’s guest experience team through coordinating travel logistics, plane charters, daily guest activities and staff schedules
• Assist with food provisioning as needed for guest trips

Skills Needed:

• Logistics/maritime experience
• Strong communication skills, detail oriented, highly organized, cost efficient, team player, ability to research in a fast-paced environment
• Adobe CS; marketing and social media
• Ability to maintain relationships with high-profile individuals

Typical wage range: $80k - $100k + bonus.
