Job Description

The University of Nevada, Reno is conducting a recruitment for an NSHE Specialist 1 for the Facilities Maintenance Services (FMS) Department. This position is responsible for acquiring goods and services, establishing vendor relationships, providing warehouse support, and ensuring distribution of materials and supplies across campus.

Duties include (but are not limited to):

  • Manage the acquisition of supplies, equipment, and materials to ensure adequate inventory levels from approved or local venders; cultivate strong vendor, campus department, and internal stakeholder relationships;

  • Place and track orders; maintain pricing and lead-time data in procurement systems;

  • Ensure compliance with purchasing policies and guidelines; attend required trainings to stay current on purchasing rules and to implement best practices;

  • Collaborate with requesters to clarify specifications;

  • Serve as the primary liaison between vendors and the Facilities Services Department;

  • Oversee purchasing contracts, facilitating vendor registration and compliance processes;

  • Conduct accountability meetings to discuss discrepancies; conduct inventory analyses;

  • Supervise staff, evaluate performance, and coordinate work schedules to ensure efficient and effective operations;

  • Ensure employees receive appropriate training to perform assigned tasks safely; maintain accurate records of employee training;

  • Mentor staff and foster a learning environment;

  • Identify individual and unit development needs;

  • Utilize programs to generate reports and track key metrics; analyze and interpret data to share with leadership;

  • Monitor and resolve discrepancies or system errors, conduct audits, and manage system access utilizing Microsoft Power BI Integrations;

  • Provide leadership with analysis on funding sources and spending trends to support informed decision making;

  • Ensure accuracy while maintaining data integrity by resolving discrepancies and entering procurement data;

  • Support system-wide integrations and improvements by conducting user training, streamlining processes, and providing feedback to developers; and

  • Other duties as assigned.

Required Qualifications

  • This position requires Bachelor’s degree from an accredited college or university and one (1) year of relevant experience; OR

  • Graduation from high school or equivalent education and three (3) years of program support experience equivalent to an Administrative Assistant III in Nevada state service which included applying complex laws and regulations, composing written materials and maintaining records; OR

  • An equivalent combination of education and experience as described above

A valid Class “C” driver’s license or higher operator’s license is required at the time of appointment and as a condition of continuing employment.

  • Candidates with proficiency in SQL queries are encouraged to apply.
