Job Description
This is a hybrid role, requiring three days in-office each week. If you are contacted for an interview, your recruiter will discuss specifics with you, inclusive of any necessary reasonable accommodations. You will report to the Senior Vice President, Multicultural.
Role Objectives
- Assist the vice president in developing and coordinating in-person and virtual events/meetings
- Develop production timelines across multiple departments
- Liaise with managers and clients to define project requirements, scopes, and objectives that align with organizational goals
- Coordinate internal and external resources, ensuring that projects remain within scope, schedule, and budget
- Analyze project progress and, adapt scope or timeline to achieve results
- Nurture and build relationships with vendors, venues, and other industry contacts while crafting and implementing the creative and logistical aspects of all events
- Remain current (or ahead of the curve) with trends in event planning, design, and production, and solve operational challenges
Responsibilities
- Coordinate with internal staff, clients, and vendors to establish the requirements for an event, and serve as liaison to senior executives, government officials, and industry leaders throughout the planning process
- Locate resources, visit sites, and lead pre-event meetings to help staff make decisions about event design
- Manage logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials
- Oversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure high-level service throughout all phases
- Build a comprehensive database of industry contacts, vendors, and venues
- Troubleshoot any issues that arise on event day
- Ensure that all aspects of a project are organized and in conformance with timeline and deliverables requirement
- Maintain project performance database that tracks overall progress and achievement of milestones
- Assign and monitor resources to boost project efficiency and maximize deliverables output
- Report project risks and outcomes to appropriate management channels, and escalate issues according to project work plan
- Be the point of communication between company teams and external resources
- Deepen partnerships with outside resources, including third-party vendors and researchers
Qualifications
- Experience in event planning or coordination
- Minimum 2-3 years’ experience in related role/industry, post college
- Legally authorized to work in the U.S.

Compensation Range: $46,500 - $67,500 annually. This is the pay range the Company believes it will pay for this position at the time of this posting.
