May recommend policies and procedures to ensure effective coordination of departmental programs.</div><br>Typical Responsibilities: <div>Provides administrative support in area of expertise. Works collaboratively with university staff to ensure departmental and organizational success. Assists in developing and conducting best business practices. Maintains communications with other departments and vendors on departmental business needs. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.</div><br>Required Qualifications: <div>A Bachelor�s degree from an acceptable accredited institution in a directly related area of specialization; or a high school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.</div>

 

General Description/ Primary Purpose: 
The Academic Support Specialist in the Department of Physical Therapy plays an integral role in the coordination, maintenance, and development of Departmental processes to ensure excellent outcomes for the Doctor of Physical Therapy Program and its students and faculty. Assists in the implementation of strategies to ensure Department goals are met.

Job Functions: 
•    Coordinates a variety of academic support activities for department (50% effort) 
o    Supports Department of Physical Therapy faculty in scheduling classes, meetings, and activities. 
o    Works closely with the Department Chair and the Admissions Committee Chair to carry out admissions processes. 
o    Assists faculty in ensuring compliance with University and State regulations as they apply to courses. 
o    Supports the Director of Clinical Education including, but not limited to, communication, coordination, and collaboration with clinical stakeholders to facilitate the placement process; facilitates student compliance with clinical education policies; carries out general clinical education administrative tasks as needed.
o    Gathers and maintain data necessary for accreditation and shares with relevant stakeholders. 
•    Coordinates office support activities for the department (50% effort)  
o    Assists in the development of the department of Physical Therapy budget, including E&G, Auxiliary, Foundation, Grants and others as needed.  Key functions include developing budget plans, monitoring expenditures, ensuring compliance with financial policies, preparing financial reports, and analyzing budget variances. Works closely with the department to align spending with organizational goals and provide financial insights to support decision-making.
o    Manages the supply and equipment inventories and related functions for the department. 
o    Prepares and maintains travel authorization requests, reimbursements, and related functions.
o    Provides departmental support for HR functions including initiating positions actions in the HRIS system, coordination of recruitment activities, and related functions. 
o    Attends Department meetings and takes meeting minutes.  

•    Marginal Functions: 
o    Greets and directs department guests including phone and walk-ins.
o    Responsible for establishing and maintaining effective relationships with various departments and personnel within BCH and the University.
o    Responsible for department website updates and related activities as required. 
o    Ensures electronic files are maintained.
o    Other duties as assigned by the leadership. 

•    Department Requirements: 
o    Able to skillfully manage relationships with several groups of stakeholders to include UNF staff, administrators, faculty, students, and clinical partners.  
o    Self-directed but eager to be part of a team and work towards common goals.  
o    Performs functions which require an understanding of University Rules, Federal Laws relating to…
o    Strong analytical as well as written and verbal communication skills and the ability to make decisions bases on program criteria.
o    Prior experience working in Higher Education. 
o    Demonstrated experience resolving complex problems.
o    Intermediate knowledge of Workday.
