About the role

GCI's Senior Executive Strategic Support will provide high level executive and administrative support including managing the broad, strategic policy and agenda, directing daily correspondence and communication, and responsibly handling confidential and sensitive information. Enable Senior VP - CTO to work most effectively with internal and external stakeholders and fulfill commitments to the company’s Chief Technical Officer.

ESSENTIAL DUTIES AND RESPONSIBILITIES AT ALL LEVELS:

This is a highly strategic, critical, and facilitative role requiring a combination of focus, flexibility, as well as a willingness to have an active, behind-the-scenes role working with and communicating to key stakeholders. Facilitates and maximizes the activities of energetic, highly active, and time-constrained company executives. Requires self-motivation, independent thinking, confident decision making, exceptional organization and communication skills, the ability to exercise good judgment, take initiative, and be resourceful and highly attentive.

Prepare & Facilitate:

  • Facilitate strategic executive, management, and department agendas, including strategy, planning, and internal operation initiatives. 
  • Build and maintain up-to-date knowledge and understanding of executive, management, and department objectives and primary goals.
  • Engage in root cause analysis on issues and opportunities that could impact the executive agenda. 
  • Organize and maintain strategic objectives, including coordination of objectives across multiple attendees and functional areas of responsibilities. Be flexible to adjustments and competing requests, ensuring alignment to documented strategic objectives. Consult with management/leadership to confirm/align priorities.
  • Ensure meeting objectives are realistic, preparation is appropriate, information is well-prepared, and content is appropriate and sufficient for the intended purpose. 
  • Assist management by participating in weekly departmental meetings and tracking agenda items, as requested. 

Organize & Coordinate:

  • Coordinate  travel schedules, including conference arrangements, meeting schedules, speaking invitations, and partner meeting participation.
  • Prepare PowerPoint presentations for internal and external audiences for strategic presentations. Plan and provide for additional preparatory materials as needed, including solicitation of background materials from other employees.
  • Utilize tact, diplomacy, and persistence to promote collaborative working relationships within and between departments, ensuring alignment among disparate stakeholders. When such alignment is absent, consult with Sr VP-CTO and recommend mitigating approaches. 

Communicate & Collaborate: 

  • Manage daily department activities and help promote collaborative working relationships within and between departments. Utilize knowledge of department objectives and goals to plan internal and external meetings and planning sessions and to document meeting results and follow-up.
  • Manage high volume of daily correspondence, via email, TEAMs, SharePoint and team meetings.
  • Provide updates at executive meetings, prepare follow-up correspondence for internal and external meetings with senior management, partners, and staff, and for various speaking engagements involving external audiences. 
  • Conduct fact checking-in support of all communications. 
  • Present timely work-in-progress updates.

Budget, P-Cards, Supplies: 

  • Receive, organize, and code invoices as received in CTO office, including as aided by database resources, according to accounting procedures. Ensure invoices are reviewed, documented, approved, and submitted by appropriate staff. 
  • Support department managers/analysts with tracking monthly budgets. Assist in annual budget tracking, accrual management and tracking preparation.

Independent Leadership:

  • Scope, plan and execute multiple, often quick-turnaround projects with minimal outside assistance, ranging from written products to convening thought leaders on various topics. 
  • Work effectively with appropriate stakeholders, including outside parties, to undertake analysis, maintaining confidential and time sensitive issues within the office. 
  • Present ideas for special projects that facilitate leadership objectives. 
  • Proactively identify potential issues, confirm hypotheses through tactful and discrete engagement with relevant parties.
  • Engage in coalition building in support of mitigation approaches, focus on interests of the parties, understand intentions, and creatively identify alternative means of handling pressing issues, supported with facts and recommendations.
