Job Description

The Production Management Coordinator role plays an important part in the successful execution and operations of the Unscripted shows. Working closely with the Director of Production Management, production teams, networks supporting teams, and external vendors, the coordinator supports budget and timeline management, logistics operations, and payment processing, among other things, to ensure the successful execution of the projects.

Job Duties:

Timeline Management:

  • Import timeline information into Airtable and update information as needed by production.
  • Ensure the timeline is visible in Power BI for distribution.
  • Assist in the creation and comparison of timelines as needed.
  • Assist in the creation of contract milestones timelines/tracker.

Communication and Reporting:

  • Support in the creation of postmortem reports.
  • Support in the updating of Production Status Reports.

Budgeting & Cost Tracking:

  • Keep track of all expenses incurred for the production, including invoices, PCard charges, internal charges, etc.
  • Assist in creating and managing budgets for remotes or special events as needed.
  • Request and verify internal allocation cost breakdown monthly.
  • Work closely with the Director of PM and Finance to allocate expenses to the correct accounts.

Crew, Vendor & Talent Onboarding:

  • Support on requests for the onboarding of freelancers, talents and external vendors for the projects.

Processing of payments:

  • Manages, codes, and submits all invoices in SNAP for payment.
  • Works closely with production on managing and submitting talent payments.
  • Ensures all payments are submitted on time.
  • Works closely with vendors, freelancers and talent on any payment issues that arise.
  • Manages transactions and reconciliation of P-cards.

Project Archiving & Data Mgmt.:

  • Tracks and maintains PEP and YOH (freelancers) tracker.
  • Tracks and maintains talent tracker.
  • Tracks and maintains RIW tracker.
  • Supports in the verification and archival of Wrap Binders accordingly.
  • Maintains departmental SharePoint.

Logistics:

  • Assist with equipment and crew coordination for remotes or special events.
  • Handle requests for guests coming to TC.
  • Assist with coordinating and scheduling RIW trainings.
  • Assist with coordinating and scheduling Kick Off Meetings, Postmortem meetings, etc.
  • Assist with flight logistics for crew and talent as needed.

Others:

  • Responsible for completing any other tasks as assigned by supervisor.

Qualifications

Basic Requirements:

  • Minimum 2 year of experience in production.
  • Bachelor’s degree preferred
  • Exhibits knowledge of production operations and planning
  • Must be fully bilingual in English and Spanish
  • Must be able to perform job at locations in and outside work environment with varying weather conditions
  • Exhibits working knowledge of health and safety requirements
  • Proficient in MS Office Word, Excel, PowerPoint, Outlook, Internet Explorer, and Internet search engines
  • Willingness to travel and on weekends with short notice
  • Must be willing to facilitate personnel requirements including late and/or last-minute schedul
