About the role
The Administrative Assistant is part of a critical team that conducts analyses for drinking water quality and radon. This role is responsible for sample intake and login, laboratory benchwork and analysis, sample data entry, customer service, and clerical work as needed to support the department.
Responsibilites
- Provides general administrative and clerical support including mailing, scanning, faxing and copying.
- Answers phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner.
- Performs data entry and scan documents as required.
- Prepares and modifies documents including correspondence, reports, drafts, memos and emails.
- Mailing test kit orders and laboratory result reports
- Process data entry requested
- Submittal of electronic data to state regulators
- Assisting with inventory tracking and replenishment
- General support assistance as required
- Other duties as assigned.
Requirements
- Strong attention to detail.
- Strong communication and organizational skills.
- Ability to handle multiple projects and tasks, and to prioritize tasks, in a fast-paced environment.
- Proficiency with Microsoft Word, PowerPoint, and advanced Excel skills, including experience with complex financial spreadsheets.
Physical Demands and Work environment
- This job operates primarily in an office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
- Occasionally, this role may be working in a professional laboratory environment using standard laboratory equipment.
- Prolonged periods of sitting at a desk and working on a computer or standing.
- Required to stand, walk and sit; talk or hear, both in person and by telephone; use hands to finger, handle or feel objects or controls; reach with hands and arms.
- Must be able to occasionally life up to 10 lbs.
Travel Required
- Travel on an as needed basis.
Education and Experience
- High school diploma or GED required.
- Two years working in the service or administrative industry highly preferred.
