The Administrative Director, Landon Center of Aging (LCoA) leads, oversees, and directs the staff responsible for all the center’s administrative services in support of the center's and University's mission. The Administrative Director assists the director of the center, performs a variety of highly responsible, complex, and confidential administrative duties that include managing the department's internal budget, funding/grant awards, personnel management and recruiting activities, and supervises a team of administrative support staff. This role develops business practices/systems related to maintaining all financial records management/compliance reporting and determination of expense eligibility. The role includes performing or assisting the HR analyst and other functions in Workday. The Administrative Director confidential administrative duties require a thorough knowledge of organizational procedures and precedents.The administrative director position requires someone who aligns with The Landon Center on Aging’s mission and has the experience to oversee high-level administrative decisions and responsibilities.

Job Description:
Key Roles and Responsibilities:
Director Support: Assist the Director of the Landon Center on Aging with highly responsible, complex, and confidential administrative duties that include managing the center’s budget, funding/grant awards, faculty affairs, staffing and recruiting processes.
- Serve as primary contact for planning LCA’s events, meetings, and trainings. This includes but not limited to staffing, coordinating, scheduling, obtaining required resources, supplies, food, etc., attending important meetings, creating, and disseminating minutes and agenda.
- Responsible disseminating information within and regarding the center using current resources like a broadcast email and periodic all-staff meetings, communicate university policy and ensure adherence to compliance issues.
- Compile reports and data to be used by the School of Medicine and Executive Vice Chancellor's Office for annual reports; make presentations as requested to various stakeholders such as Landon’s Director, KUMC leadership, elected officials, etc.; maintain archive files of the Landon Center on Aging regarding past legislation and strategic plans, attend meetings in the place of the Director when requested.
- Advise chair on the University mandated policies and assist in meeting University requirements.
Lead Community Outreach and Engagement efforts of the Landon Center on Aging: Serve on various boards/committees related to Aging issues within the Community; cultivate relationships with longtime donors and potential new donors through active communication and periodic meetings; solicit donations from participants and supporters; conduct tours and lead other public relations/fundraising activities of the Landon Center on Aging; manage special events and conferences.
Center Budget and Personnel: Oversee the annual budget and monitor spending of the Landon Center on Aging including state appropriations, endowment funds, restricted fee accounts, etc.
- Project year-end balances and make needed adjustments to meet targets. Make recommendations to the Director regarding budgetary issues.
- Prepare an annual all-funds operating and personnel budget.
- Develop business practices and systems to manage and maintain financial records, compliance reporting, and determine expense eligibility.
- Prepare and meet deadlines for the SOM budget submission and enter the center's budget into the University system.
- Train and assist staff with workday travel and expenses.
- Oversees staff in purchasing supplies/equipment, remodeling, repairing the building and assigning office space.
- Work closely with senior administrators from other departments regarding salary support, administrative support, and use of Landon Center on Aging meeting and research space.
Grants Management: Assist faculty with grant submissions including budgeting, preparing of internal paperwork, and routing for signatures
