How you will contribute as part of the TRCA team:
Construction Services provides specialized expertise in the on-site delivery of environmental construction, restoration, maintenance, and infrastructure protection projects. Our focus includes enhancing ecosystems to support natural cover and wildlife, mitigating erosion to protect greenspaces and infrastructure, and creating trails and park facilities to promote sustainable public access and green transportation. By integrating ecological stewardship with infrastructure resilience, we contribute to thriving natural spaces and communities.
The primary role of the Project Coordinator – Contract Management will be to support members of the Project Team and to provide Construction Contract Administration support. Management and coordination of project documentation and correspondence is critical in ensuring successful delivery of projects. They will further support all other project lifecycle functions (from procurement through to project close out).
Major Responsibilities:
• Coordinates meetings, supports the preparation of agendas and presentations, take minutes as requested, and conducts follow-up on action items to ensure milestones are being met
• Supports in maintaining accurate project schedules, coordinates tracking of projects, tasks, timelines and deliverables
• Maintains records and file archives; ensures accurate and accessible project information and adheres to TRCA record retention policies
• Drafts internal and external correspondence, project briefs, communications and reports of a general and technical nature; coordinates the collection and consolidation of data, information and reports from internal/external stakeholders to support report and assessment writing
• Coordinates TRCA and other permissions required for projects and related approvals
• Develops and updates communication, reports and other documentationas requested to ensure clarity in project communications
• Coordinates the preparation and execution of a broad range of contracts and agreements and assists in ensuring proper documentation of changes or amendments that may arise during execution.
• Analyses project information, prepares visual presentations, and develops briefing materials to support operations
• Collaborates with other TRCA teams to support project implementation
• Incumbents may also be assigned other duties
What will you need to succeed:
Education (degree/diploma/certifications)
• Post-secondary diploma or degree Environmental Science, Engineering (Civil/Environmental), Geography or a related field
• Valid Ontario Class G2 driver's license
Experience
• 2+ years of experience providing project coordination
Knowledge/Skill/Ability - Competencies
• Excellent organization skills; both in-office and virtual files/share office spaces
• Strong working knowledge of Construction Contract Administration processes and procedures
• Strong verbal and written communication skills
• Understanding and application of basic mathematical functions (e.g., adding, subtracting, measuring, money computation)
• Demonstrated ability to prepare consultant terms of reference and procurement documents
• Able to comprehend written documentation and procedural guidelines; skilled in writing clear correspondence (concise, logical, grammatically correct)
• Ability to communicate effectively with tact and courtesy
• Able to self-manage workload and prioritize tasks as an ongoing challenge in a frequently fluctuating workload and multiple deadlines<
