Position Summary:
We are seeking a dynamic individual The Executive Assistant and Office Administrator plays a pivotal role in ensuring the smooth operation in our start-up biotech environment while providing executive support to senior management and overseeing various human resources responsibilities. This multifaceted position requires exceptional organizational skills, attention to detail, discretion, and the ability to handle a diverse range of tasks efficiently.

Key Responsibilities:
- Provide comprehensive administrative support to senior executives, including calendar management, scheduling appointments, and coordinating meetings.
- Prepare and distribute correspondence, reports, presentations, and other documents as needed.
- Act as a liaison between executives and internal/external stakeholders, handling inquiries and requests with professionalism and discretion.
- Support company communications initiatives, including regular updates to colleagues, social media account management, reports to leadership, newsletters, etc
- Contribute to employee morale by organizing company events and engagement activities as well as occasional meal and snack ordering.
- Act as point of contact for guests of the company, before, during and after visits
- Collaborate with HR on a variety of programs such as new hire onboarding and employee recognition; ensure that new colleagues are integrated efficiently and seamlessly.
- Plan and manage corporate events such as Scientific Advisory Board meetings, company offsites, Town Halls, celebrations, etc
- Manage the supply of branded company materials, including merchandise, business cards, etc.
- Identify opportunities to build company culture and improve operational efficiency across different company functions; lead specific efforts as required.
- Help to manage and optimize office space and support any future office / laboratory relocations to minimize disruption and help colleagues maintain productivity.
- Act as the first line of defense for our IT team by troubleshooting minor technical issues related to conference rooms, Zoom glitches, forgotten laptop chargers/adapters etc.
- Provide occasional administrative support as needed to key members of the company by serving as backup Executive Assistant to the leadership team.
- Proactively identify areas where we can improve the employee experience, work cross-functionally to make positive changes.
- Work with team to assist with prospective candidates, including interview scheduling, travel support, and logistics.
- Participate in special projects as they come up based on your interests, career goals, and capacity.
Qualifications:
- Bachelor’s Degree
- At least 5+ year administrative/office management experience in a fast-paced, dynamic environment.
- Experience in a start-up environment is strongly preferred; biotech experience will be favorably conside
