About the role
This is a remote position.
Schedule:- 20 hours a week
- Monday - Friday 9:00 AM- 1 PM Florida time
- Potential to go full-time in a couple of months
Position Overview
Join a fast-growing telehealth psychiatry practice as a Customer Service Representative, where you’ll be the first point of contact for patients seeking mental health support. This role combines patient care, customer service, and digital tools to ensure a seamless experience for both patients and providers. You’ll be instrumental in managing patient inquiries, coordinating appointments, maintaining records, and supporting the daily operations of a modern telehealth service.
Key Responsibilities
- Handle patient inquiries professionally and empathetically via phone and email
- Schedule and manage telehealth appointments using digital tools
- Collect co-pays and assist with insurance verification (as needed)
- Perform accurate data entry to maintain and update patient records
- Manage and organize information in Excel and spreadsheet platforms
- Assist with the intake process for new clients and referral sources
- Ensure patients complete intake forms prior to their appointments
- Collaborate with the office manager to ensure efficient daily workflows
- Support high call volume periods as the practice scales operations
- Process medical records requests and issue client invoices
- Provide light technical support with the 8x8 phone system
Requirements
- Fluent in English with minimal accent
- Prior customer service experience, ideally in healthcare or telehealth
- Excellent verbal and written communication skills with a patient-first approach
- Proficiency in Google Workspace (Gmail, Google Calendar, Sheets, Docs)
- Understanding of HIPAA compliance and strong commitment to patient privacy
- Strong multitasking and time management skills
- Exceptional attention to detail, especially in data entry and record keeping
- Ability to work independently and remotely with minimal supervision
- Adaptability to a growing organization with potential for expanding responsibilities
- High school diploma required; Associate’s or Bachelor’s degree preferred
