Summary
The Department of Pediatrics at CHRISTUS Children's in San Antonio, Texas is seeking a highly motivated and detail-oriented Business Operations Associate to support the day to day business operations of the department by performing and implementing financial, accounting, human resources and research administration department related duties. The ideal candidate will have experience in multi-tasking divisional administrative support, preferably in an academic medical environment.
Job Duties
May support HR Success Factors actions such as position posting, salary actions, terminations.
Pre-award:
- Gathers and creates documents necessary for grant and subaward submissions including budgets, budget justification, other support, statements of work, etc and communicates timelines to investigators to ensure applications are submitted on time to central office for review and approval.
- Reviews and approves grant applications, certifies summary data in the College's electronic Biomedical Research and Assurance Information Network (BRAIN) on behalf of the department.
- Ensures compliance with all guidelines for funding purposes.
Post-award:
- Works with investigators to confirm sourcing of research staff to appropriate accounts monthly.
- Prepares financial reports to track research mission financial for monthly/quarterly/annual review upon request.
- Tracks grant expenses and ensures appropriate use of funds and generate monthly financial reports on research awards.
Other responsibilities:
- Serves as the point person for administrative support of the Emergency Medicine Division within the department.
- Supports HR Success Factors actions such as position posting, salary actions, and terminations.
- Gathers and coordinates submission of newly onboarded faculty academic appointments.
Minimum Qualifications
- Bachelor's degree.
- Two years of relevant experience.
Preferred Qualifications
- Two years of relevant experience of administrative support to physicians.
- Some financial or accounting experience.
- Experience working in an academic setting.
- Research administrative work experience in an academic research setting.
- Proficiency using Microsoft Outlook, Excel, Word, PowerPoint
- Any prior knowledge of IRB, Human Clinical Studies and any relevant experience and understanding of initiating clinical research projects.
- Superior organizational and time management skills and multi-tasking.
- Ability to work independently with minimal supervision, as well as part of a team.
