We are seeking a Medical Receptionist I to become a vital part of our team that supports individuals during some of their most vulnerable moments.

As the first point of contact in our behavioral health clinic, you’ll play a vital role in creating a warm, welcoming, and professional environment for every client and visitor. This is more than a front desk position—it’s a meaningful opportunity to support individuals during some of their most vulnerable moments. You’ll manage scheduling, phone calls, and front desk operations, while also handling data entry in the Electronic Health Record (EHR) system, billing, and insurance verification. In this client-facing role, your ability to remain calm under pressure and respond with empathy is essential. You’ll also receive specialized training to help you recognize urgent needs and support clients in crisis, all while working in a collaborative, team-oriented environment where your contributions truly matter.

Minimum Required Qualifications

  • High school diploma or equivalent combination of education and experience.

  • Two years of experience in general office, medical office or related areas.

*A well-qualified candidate will have an Associate’s degree and at least two years of experience in general office or personnel operations, including one year in a medical office setting. They will bring hands-on experience with Electronic Health Records (EHR) and demonstrate familiarity with electronic medical record systems. 

Some of the responsibilities include:

Customer Service

  • Handles phone calls from patients/clients who need to schedule appointments to include adding new patient/clients, verifying demographic information and insurance

  • Routes calls to clinical staff and enter phone notes as appropriate.

  • Assists with complex scheduling, canceling, and rescheduling appointments, and routes patient/client calls.

  • Manages patients/clients in crisis and connecting them with clinical staff for immediate assistance.

Registration

  • Verifies patient/client demographic information, collects co-pays and past-due balances, and manages the patient/client waitlist.

  • Assists with insurance verification, portal registration, and check-in/check-out processes.

  • Scans insurance cards and IDs and assists patients/clients with kiosk use.

  • Coordinates the check-in process to ensure a smooth and efficient experience.

  • Monitors clinic schedules and maintain efficient patient/client flow throughout the day.

  • Verifies and updates patient/client eligibility, demographic details, and insurance information in the electronic medical record system.

  • Collects required document signatures for compliance and insurance purposes.

  • Confirms eligibility for Texas A&M University student health insurance.
