Administrative Assistant

Phoenix, AZ

Glass America is seeking a highly motivated and detail-oriented Administrative Assistant to join the Technical Training Team. The successful candidate will provide administrative support to our training team and ensure the smooth day-to-day operations of the business unit. This Administrative Assistant will be responsible for a variety of tasks, including, but not limited to, answering and directing phone calls, responding to emails, ordering equipment, assigning training lessons, cataloging company property, maintaining technician certifications, preparing documents and reports, and managing employee databases.

Job Responsibilities:

  • Maintain the records of, and manage expiration dates, of our various Technician certifications.

  • Assign driver safety and OSHA training, as well as generate relevant reporting.

  • Coordinate with operations management to process tools requisitions, ensuring correct shop information is collected for delivery and cost coding.

  • Track company equipment provided to Glass Technicians in the field.

  • Answer and direct phone calls in a professional and courteous manner

  • Respond to emails and inquiries in a timely and professional manner

  • Coordinate meetings, including scheduling and preparing necessary materials

  • Prepare documents, reports, and presentations using Google Suite

  • Manage databases and maintain accurate records

  • Assist with travel arrangements and expense reports

  • Perform general clerical duties such as filing, scanning, and copying

  • Maintain office supplies inventory and order supplies as needed

  • Other duties as assigned

Education and/or Experience Required:

  • High school diploma or equivalent required

  • 2+ years of administrative assistant or office experience preferred

  • Proficient in Google and/or Microsoft Office Suite

Required Skills/Abilities:

  • Excellent communication skills, both written and verbal

  • Strong organizational and time management skills

  • Ability to multitask and prioritize tasks effectively

  • Attention to detail and accuracy

  • Ability to work independently and as part of a team

  • Professional and courteous demeanor

Other Requirements:

  • Must be able to lift and transport supply orders weighing up to 25 pounds

  • Must be able to work in a fast-paced environment and adapt to changing priorities

  • Must be able to maintain confidentiality and exercise discretion in handling sensitive information
