The Opportunity
As an Executive Administrative Partner at WillowTree, you will support C-Suite executives to ensure alignment on priorities and deliverables while ensuring the smooth execution of day-to-day administrative operations. You are a force multiplier– by anticipating needs and identifying potential problems before they arise, you enable your executives and other team members to do more with their time. In addition to being organized and analytical, you possess strong business judgment and excellent communication skills.
Responsibilities
- Manage multiple executive schedules, identifying friction points, conflicts, and opportunities to improve time management.
Collaborate across the Office Operations, IT, Legal, Finance, Employee - Experience, and other enablement functions to execute organizational priorities, support client visits and key onsites, and suggest and implement process improvements.
- Work both independently and interdependently and navigate shifting priorities as needed.
- Support your Executive’s initiatives and goals by tracking progress, coordinating logistics, corresponding with stakeholders, and unblocking areas of ambiguity.
- Create travel arrangements, itineraries, and monthly expense reports.
- Become a trusted member of the team and advisor to your executive, handling confidential information with care and discretion.
- Identify the need beneath the ask– anticipate issues, understand priorities, and align expectations with your Executive on a regular basis.
Qualifications
- Commitment to excellence in all your work; you enjoy the details, have exceptional organizational skills and strong task orientation, and desire to go above and beyond to support the needs of your Executive and the wider team.
- Self-motivated with a can-do attitude: you actively seek out process improvements, proactively offer assistance and support to colleagues, and draw connections between and among Enablement functions. You get a kick out of taking care of things the right way the first time.
- Comfort with ambiguity and competing priorities: you are capable of ‘triaging’ urgent needs throughout the day while maintaining focus on what is most important.
- Customer-service mentality: you lead with empathy and curiosity, seeking to understand, learn, and deliver outstanding results for the people and teams you support.
- Growth mindset: you are eager to learn, build new skills, and adapt as the organization evolves. You look forward to opportunities to pick up new skills and changes in your day-to-day work. You are willing to learn and experiment with new systems and ways of working.
- Professional judgment: You use your best judgment to work autonomously whenever possible. You solicit and actively accept feedback to improve your performance.
- Collaborative and team-oriented: you work well with others, enjoy the opportunity to contribute to a broader team, and look out for those you work closely with.
- Excellent English communication skills, including written, verbal, and presentation.
