Through fundraising and grantmaking, the Foundation drives scientific research, innovation, and policy change that will improve care, advance cures, and reform healthcare systems for this and future generations.  


MAIN FOCUS: Supporting the work of two fundraisers within the Major Gifts team.


LOCATION: Palo Alto, CA (hybrid); the successful candidate will be based in the Bay Area.


ABOUT THE TEAM


The Foundation’s Major Gifts team works with donors (individuals and family foundations) to raise philanthropic support in the range of $100,000 to $5 million. The team partners closely with the Foundation President/CEO’s office, and frequently interacts with the hospital President/CEO’s office, the Dean of the School of Medicine’s office, and Foundation and hospital board members.


WHAT YOU'LL DO... 

The Senior Development Associate serves as a key support for the administrative needs of two fundraisers within the Major Gifts team. This person is a highly organized, detail-oriented, strategic team player who can exercise strong judgment, take initiative, and successfully work on concurrent tasks at a fast pace. This person is an expert communicator, and both comfortable with and excited about working with various working styles, role groups and job functions. They are proactive and innovative in developing systems, routines and approaches to support the work of their gift officers and the team overall.

 

While this person will primarily support these two fundraisers, they will occasionally be called upon to assist across the Major Gifts team as needed. They will report to the Associate Director, Major Gifts Program.  

 

The compensation range for this role is between $36.06-$39.42 per hour.



YOU'LL BE RESPONSIBLE FOR...


Administrative Responsibilities (~50%):

  • Manage the calendar of the two fundraisers; negotiate the needs of others requesting time (including key stakeholders), resolve scheduling conflicts with limited or no consultation, prepare agendas and other materials as needed.
  • Coordinate all logistics of in-person internal, external meetings and hospital tours; book conference and meeting rooms, arrange catering/be onsite to help with refreshments, research parking information, prepare and disseminate meeting materials, provide AV support when needed.
  • Prepare and submit monthly expense reports, reconcile team card.
  • Assist with preparing donor gifts (cards, flowers, etc.) for donors.
  • Coordinate mailings and pledge reminders to prospects and donors.
  • Help maintain processes for storing, tracking, and sharing information.
  • Support with complex data projects.
  • Assist with gift processing documentation.
  • Ensure event invitations and other mailing lists are reviewed by gift officers.
  • Build a network of relevant administrative and faculty contacts at the hospital and School of Medicine.
  • Other administrative duties, as assigned.

Portfolio Coordination (~30%):

  • Serve as an internal partner for these two gift officers in helping to drive their activity and portfolio work.
  • Lead portfolio review meetings, create agendas, and track next steps.
  • Project manage briefings, complex meetings, and solicitations.
  • Draft simple donor-facing communications.
  • Lead other donor-facing projects as needed including potential donor events. This may include managing invitation lists, coordinating logistics, creating event briefings, and assisting onsite.
