About the role

PRIMARY FUNCTION:

The Director of Special Events and Marketing is responsible for generating fundraising income through special events and public marketing, which includes overseeing the strategic planning, execution, and promotion of all aforementioned initiatives for the Boys & Girls Clubs of Greater Oxnard and Port Hueneme. This individual will play a key role in enhancing the visibility of the organization, engaging current and prospective donors and volunteers, and ensuring the success of fundraising and community engagement events. Works closely with the Board of Directors’ Development Committee, Chief Executive Officer, Vice President of Advancement, staff, and volunteers to develop and execute events that support the club’s mission, fundraising goals, and overall brand. Evaluates and reports results, with recommendations for modifying events to improve success.

KEY ROLES (Essential Job Responsibilities):

Event Planning & Execution

  1. Plan and execute high-quality events, both small and large-scale, such as galas, auctions, donor appreciation events, and community outreach activities.
  2. Coordinate all event logistics, including venue selection, vendor management, event promotion, staff and volunteer coordination, and event day management. Negotiate all related materials and resources that ensure event success.
  3. Work closely with the Vice President of Advancement to identify fundraising opportunities through events and meet or exceed budgeted revenue goals.
  4. Plan and implement strategies to steward and retain event donors.
  5. Provide onsite logistical support and leadership for all special events.

Resource Development

  1. Contribute to attaining financial support through special events.
  2. Plan creative events that facilitate solicitation of donations from target audiences. Plan and create strategies to retain donors and steward donor relationships.
  3. Identify and recruit corporate sponsors to underwrite event expenses or to donate gifts, cash or in-kind services to minimize expenses.
  4. Contribute to attaining financial support by building the Club’s base of support through marketing and public relations campaigns.

Partnership and Volunteer Development

  1. Recruit and empower volunteer event leadership teams. Provide infrastructure, guidance and support to volunteer leaders to solicit and steward major gifts. Maintain volunteer focus on financial goals while providing a fun and supportive atmosphere.
  2. Develop collaborative partnerships with Club staff, volunteers, members, parents, supporters, other Clubs, media contacts, consultants and vendors and other not-for-profit organizations to establish professional links within the community.

Marketing and Public Relations

  1. Contribute to operational strategic planning, identifying opportunities to promote Club services, programs and activities to specific constituents or the public at large. Identify and evaluate opportunities to improve Club marketing and public relations activities.
  2. Increase visibility of Club programs, services and activities by informing all media contacts and target audiences of scheduled special events. Prepare and distribute press releases, community bulletins and bimonthly e-newsletters regarding events and outcomes.
  3. Manage official Club social media accounts.
  4. Develop and implement marketing and public relations strategies designed to build appreciation and support of Club programs, services and activities, and to increase participation by youth in the community.
  5. Performs other related duties and responsibilities as required or as assigned.

Program and Service Management

  1. Ensure effective program implementation and administration, making sure all event and related logistics and support activities are carried out as scheduled.
  2. Evaluate success of special events, as determined by appropriate measures such as attendance, revenues generated, public relations activity, etc.

RELATIONSHIPS:

Internal: Maintain close, daily contact with Club management to exchange information, seek and give assistance, consultation and direction. Maintain contact with financial staff and support staff. Maintain verbal and written contact with volunteers and volunteer committees.

External: Maintain contact with community and corporate leaders, media contacts, schools, parents and local residents to encourage participation in scheduled special events and provide information regarding club activities and needs.
