About the role

Compiles, reviews, analyzes, verifies, and disseminates sales documents for residential single-family home builder to effectively coordinate the new home start process and ensure proper financing, construction, timely starts, and smooth closings.

Duties and Responsibilities

  • Assists Senior Sales Administrator in timely & accurate processing of new sales contracts, supplemental contract documents, change orders, unfurnished model home set-up, and sales data integration across platforms.
  • Obtains closing documents; updates and maintains customer files to include surveys, certifications, loan approvals, deeds, etc. Performs computer data entry of information and prepares appropriate reports as required.
  • Acts as a liaison between the Construction Manager, Title, MI Financial, Outside Lenders, Realtors, and homebuyers relative to pre-settlement and closing information.
  • Schedules, organizes, and monitors pre-settlement dates and closing appointments; coordinates such with appropriate internal departments as well as with attorneys and mortgage companies. Provide updated home statuses to include changes in scheduling, etc.
  • Send out closing letters, cancellation letters
  • Verifies home buyer deposits, final price and approving Closing statements/HUD statement.
  • Maintain house and mailbox keys
  • Retain financing approvals
  • Manages soft & hard house files from creation to final storage.
  • Compiles sales data; prepares and distributes weekly and monthly sales reports as required.
  • Performs miscellaneous routine administrative functions to assist the Vice President of Sales and Marketing, Senior Sales Administrator, Closing Coordinator and Sales Consultants in daily workflow including, but not limited to, creating forms and documents, filing (soft & hard files), communicating with vendors & buyers, preparing spreadsheets & reports, etc.
  • Performs additional assignments as requested by supervisor.

Requirements

Minimum Education Experience: High school graduate with basic academic and practical skills gained through school curriculum combined with at least one year of related work experience and/or training; general knowledge of home building industry within scope of sales contracts and administrative functions.

Skills and Abilities:

  • General office and administrative skills to assist in the processing of departmental workflow.
  • Customer-service oriented with professional and courteous attitude.
  • Good verbal and written communication skills for interaction with a variety of people inside and outside of organization; good organizational skills and detail-oriented aptitude.
  • Good working knowledge of word processing and spreadsheet software packages.
  • General knowledge of plot plan and blueprint reading helpful.
