Position Overview:
The Illinois Department of Juvenile Justice is looking for a candidate to serve as a Business Administrative Specialist to work at their assigned facility in the Business Office. The ideal candidate is self-motivated, task oriented, has excellent organizational skills, shows great attention to detail, is a team player and has strong interpersonal skills. Position is responsible for the facility purchasing and contractual processes to guarantee compliance with all applicable statues, procurement regulations, rules, and procedures. Duties include reviewing area processes and providing recommendations to implement methods and systems. This position participates in the development, implementation, and review of the institution’s budget . This position also serves as lead worker to lower-level staff. Essential Functions:
- Assists the Business Administrator in the preparation and development of facility budget, including the compilations of monthly and quarterly reports on budget analyses.
- Directs and controls work in the area of procurement.
- Directs and controls work of the facility store’s staff.
- Serves as designated lead worker.
- Provides direction to property control staff in control of all equipment at the facility by reviewing and maintaining proper methods and procedures are implemented and that inventory records
are accurately maintained. - Serves as backup in preparing daily staff attendance reports, and checks each employee’s pay period attendance, roll call, shift differential, overtime, temporary assignment, paid lunches, holidays, and any other information affecting the employee’s pay and submits payroll each pay period.
- Performs other duties as required or assigned which are reasonably within the scope of the enumerated above.
Minimum Qualifications:
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college with a major in business administration or a related field.
- Requires one (1) year of progressively responsible business experience.
Preferred Qualifications: (In Order of Significance)
- Prefers at least two (2) years serving as a lead worker to business office or accounting office staff.
- Prefers at least two (2) years of experience assisting with budget development.
- Prefers at least two (2) years of experience reviewing and preparing contracts for purchase of goods.
