Key Responsibilities
Inventory Management
- Maintain accurate inventory levels for both locations, ensuring critical parts and supplies are on hand.
- Conduct routine cycle counts and full physical inventories; reconcile discrepancies.
- Monitor usage trends and adjust reorder points to prevent stockouts or overstock.
- Track and manage core returns, warranties, and defective parts processes across both sites.
Procurement & Vendor Relations
- Source and requisition parts and supplies in accordance with company policies.
- Build and maintain relationships with vendors to negotiate pricing, lead times, and delivery schedules.
- Ensure timely follow-up on outstanding purchase orders and backorders.
- Coordinate deliveries and transfers between locations as needed.
Logistics & Distribution
- Organize and stage parts for maintenance and service teams; ensure accuracy of parts pulled.
- Manage inter-site transfers of parts and materials; maintain tracking logs for all movement.
- Receive, inspect, and properly store incoming inventory.
- Maintain a clean, organized, and safe parts storage environment at both locations.
Documentation & Systems
- Maintain accurate records within the inventory management system (e.g., part numbers, stock quantities, pricing, vendor info).
- Prepare reports on inventory levels, usage trends, and purchasing activity.
- Support audits and compliance requirements through proper documentation and recordkeeping.
- Ensure consistent parts management processes are followed across both facilities.
Communication & Collaboration
- Work closely with Operations, Maintenance, and Service teams to anticipate parts needs.
- Communicate any supply delays or shortages promptly and propose solutions.
- Provide guidance on parts availability, lead times, and alternatives.
- Support cross-site collaboration and ensure alignment of parts processes and standards.
Skills & Qualifications
Required
- High school diploma or equivalent
- 2+ years of experience in parts coordination, inventory control, warehousing, or a related field.
- Strong organizational and multi-tasking skills.
- Basic knowledge of mechanical parts or equipment (industry-specific knowledge preferred).
- Proficiency with inventory software and Microsoft 365.
- Valid driver’s license and ability to travel regularly between sites.
- Strong communication and customer service skills.
Preferred
- Experience supporting multiple facilities or workgroups.
- Vendor management and purchasing experience.
- Forklift certification (or willingness to obtain).
