CEC is seeking an Executive Assistant to the CEO. This role provides direct administrative and strategic support and plays a key role in enabling executive focus, efficiency, and alignment. The ideal candidate brings professionalism, judgment, and the ability to manage priorities in a dynamic, fast-paced environment.

Position Summary
The Executive Assistant provides high-level administrative support to the CEO and collaborates with the broader executive team. The role requires exceptional organizational skills, a proactive mindset, and precise execution. Key responsibilities include complex scheduling, preparation of executive materials, confidential communications, and tracking high-priority deliverables. Discretion, responsiveness, and a strong sense of ownership are essential to success in this role.

Essential Duties and Responsibilities

  • Serve as the primary administrative partner to the CEO, anticipating needs, ensuring calendar accuracy, and managing sensitive communications with professionalism and discretion.
  • Prepare and format executive-level materials including presentations, reports, and briefings for internal and external meetings.
  • Manage, reconcile, and submit accurate expense reports and purchase requests on behalf of the CEO and select executives.
  • Support additional senior executives as needed, including calendar management, travel planning, and expense reporting.
  • Organize, track, and follow up on meetings, commitments, and action items to ensure timely completion and accountability.
  • Coordinate logistics and planning for leadership meetings, external vendor reviews, board meetings, and special events.
  • Maintain master calendars and daily schedules; provide reminders and follow-ups as necessary.
  • Interface with internal departments including Operations, Finance, HR, and Legal to support executive requests and reporting.
  • Draft, review, and route executive correspondence, contracts, and documents with precision and confidentiality.
  • Maintain an efficient system for records management, ensuring easy access and security of sensitive information.
  • Exercise sound judgment in prioritizing and handling urgent requests.
  • Support ad hoc initiatives and confidential projects as assigned.
