SALARY: $20.00 - $22.75 per hour. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to skill, knowledge, experience, education, and credentials.

Primary Purpose

Provide administrative assistance and secretarial support to the Faculty and Administration in the Department of Clinical Education, RVU-MCOM. Work with Clinical Education Administration to ensure seamless collaboration between colleges.

Essential Job Functions

  • Facilitate students, staff, faculty, and visitors in the scheduling of appointments, meetings, and events
  • Maintain calendars for Clinical Education Dean(s) of Clinical Education and other clinical education leadership in Montana.
  • Respond to electronic and other general communications requests for information
  • Prepares letters, outgoing mail/package needs, and email correspondence for the Department of Clinical Education.
  • Assist in updating and maintaining student and preceptor information in New Innovations and other tracking databases as needed.
  • Assist central leadership in the collection of data and assist in preparing reports/publications/project outcome reports.
  • Produce and maintain access and organization to training materials/resources.
  • Create, update, and maintain departmental forms, files, and other documentation as requested. This includes taking departmental meeting minutes and publishing them for dissemination to the proper attendees in a timely manner.
  • Maintain and update demographic and professional information of Clinical Education personnel on appropriate platforms and in files to assist in accreditation standards and general departmental access.
  • Work with special events planning personnel to schedule and coordinate special events, and projects for the department.
  • Arrange travel and meetings internally and externally as needed for department events. complete expense reports when needed.
  • Maintain inventory of office supplies and promotional items, replenishing as needed. Work with new hires on onboarding for approved off-campus supplies. Assure that Montana Campus-based employees have adequate supplies.
  • Assist in processing, tracking, and maintaining expense reports and check requests for the Department of Clinical Education.
  • Work cooperatively with others and accept direction from the Montana Clinical Education Leadership staff.
  • Help build a culture that respects, values, and promotes diversity, equity, and inclusion.
  • Manage the work area and equipment in the Clinical Education Suite to facilitate orderliness, availability, access, and convenience for staff and visitors.
  • Other duties as assigned by the supervisor or his/her designee.

Required Knowledge, Skills, and Abilities

  • Outstanding organizational, and communication skills.
  • Demonstrate intermediate skill level or higher data entry knowledge and computer skills including Windows, Microsoft Teams, Word, Excel, PowerPoint, Outlook, and Zoom.
  • Type 50+ wpm.
  • Ability to work with a high level of confidential material with an attention to detail.
  • Ability to multi-task and problem solve innovatively.
  • Ability to work effectively in a team-based environment.
  • Ability to work independently and be self-motivated.
