Human Resources announces an opening for 1.0 Registration Services Technician
This a full-time, 12-month (260-days), Grade G-11 position.
RESPONSIBILITIES:
ESSENTIAL FUNCTIONS OF THE CLASS (the following may not include all duties performed): Provides information to
parents/guardians concerning Virginia and APS school admission and placement requirements, policies, processes and procedures.
Guides them through registration. Verifies that registration documents, which may not be in English, comply with requirements.
Ensures adequacy, completeness and accuracy in forms submitted (such as enrollment eligibility documents, McKinney-Vento and
School Entrance Health Forms) and documents generated (such as student records). Provides English-Spanish
interpreter/translator services. Helps coordinate translation and interpretation services in other foreign languages. Registers
students; generates, opens, organizes and manages new/returning student records. Trains school-based registration staff in central
registration processes. Provides daily ‘help desk’ type support to them and users of student records. Performs administrative
assistance of a general office nature such as maintains time attendance records, processes leave requests, maintains leave records,
and verifies leave data with payroll; generates routine memos and letters from general instructions; maintains clerical records and
prepares reports from such records; greets callers and visitors, ascertaining and responding to their needs appropriately by providing
information, referring them to others, etc.; determines files required by policy/procedure, good office order or convenience, and
ensures that filing, archiving and destruction timetables are followed; initiates or approves orders for office supplies and ensures an
adequate inventory; reviews incoming correspondence and materials for items of interest to the supervisor or other staff; develops,
or helps develop, presentations, spreadsheets, etc.; and types and proofreads documents (ensuring proper format and business
English and effective style and word usage, catching omissions, typographical errors and other problems, etc.) and mails or emails
final copy. Communicates and interacts effectively with APS/County staffs, parents/guardians, etc. This includes listening ‘actively’
to stakeholders to ensure their wants/needs/concerns are heard and, as appropriate, met in a user-friendly way. Uses a computer
and (a) modern office suite software for various applications such as, but not limited to, planning/scheduling, communicating (email),
word processing, manipulating data (databases and spreadsheets), preparing charts/graphics/presentations and researching
(Internet); (b) enterprise systems/software for requisitioning/purchasing/etc.; and (c) specialized systems/software for performing
other functions. May drive to school sites when the need arises.
EXPERIENCE:
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of Federal requirements governing student enrollment in US
public schools sufficient to ensure compliance in the registration process. Knowledge of, and skill in, applying Virginia and APS
requirements governing student admission and placement, or ability to rapidly acquire this knowledge/skill set, to ensure compliance
in the registration process. Knowledge of generally-accepted principles, methods and techniques of administrative assistance of a
general office nature, and knowledge of, or ability to rapidly acquire knowledge of, APS-specific administrative
assistance/secretarial/clerical policies, processes and procedures altogether to greet callers and visitors, establish/maintain files,
prepare reports, type documents and perform related functions. This includes knowledge of, and skill in, modern, standard business
English. Skill in problem solving to select, organize and logically process relevant information (verbal, numerical or abstract) to
solve a problem. This includes skill in recognizing subtle aspects of problems, identifying relevant information and making balanced
recommendations and decisions. Skill in written communication in English and Spanish to understand written information (including
instructions, descriptions and ideas), and to express such information in writing so that others will understand. Skill in oral
communication in English and Spanish to understand verbal information (including instructions, descriptions and ideas), and to
express such information verbally so that others will understand and agree/comply or take other appropriate action. Interpersonal
skills to interact effectively with contacts in a businesslike, customer service-oriented manner by establishing and maintaining
