Job Description:
The Supervisor – Aircraft Parts and Procurement is responsible for overseeing and managing the day-to-day activities of the Aircraft Parts and Procurement Specialist. This leadership role ensures that all procurement, inventory, compliance, and logistical functions related to aircraft parts and materials are performed accurately, efficiently, and in accordance with FAA regulations and company standards. The Supervisor will serve as a key liaison between internal teams, external vendors, and maintenance personnel to support uninterrupted aircraft operations and regulatory compliance.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Leadership & Oversight
- Supervise and support the daily activities of the Aircraft Parts and Procurement Specialist.
- Provide training, mentorship, and performance feedback to ensure high-quality work and professional development.
- Delegate tasks effectively and monitor progress toward departmental goals and deadlines.
Procurement & Vendor Management
- Oversee ordering, receipt, inspection, and documentation of aircraft parts, components, and materials.
- Monitor vendor relationships, resolve order discrepancies, and ensure timely and compliant procurement activities.
- Evaluate vendor performance and recommend changes as necessary.
Regulatory Compliance & Quality Assurance
- Ensure compliance with all FAA regulations, including those related to Suspected Unapproved Parts (SUPS) and hazardous material handling.
- Review and maintain accurate records of maintenance parts, warranties, and inventory documentation.
- Develop and enforce policies that support airworthiness and operational readiness.
Inventory & Logistics Management
- Supervise inventory control processes including labeling, tagging, monthly physical audits, and periodic reconciliation.
- Oversee shipping/receiving operations and ensure materials are handled and stored properly.
- Optimize inventory levels to support operational efficiency while minimizing waste or excess.
Operational Support & Coordination
- Coordinate closely with maintenance, logistics, and operations teams to anticipate and respond to part and material needs.
- Support on-site and off-site operations through occasional travel.
- Routinely review workspaces to ensure cleanliness, organization, and safety standards are upheld.
Continuous Improvement
- Develop and implement strategies to improve accuracy, accountability, and efficiency in parts management processes.
- Identify process gaps and recommend technology, policy, or procedural updates as needed.
Finance & Accounting
- Match vendor invoices to the purchase order to confirm accuracy
- Vendor invoice approvals within approval range
BACKGROUND AND QUALIFICATIONS:
- High school diploma or GED required, associate or bachelor’s degree in aviation management, logistics, or related field preferred.
- 3+ years of experience in aviation parts/materials logistics or inventory control; at least 1 year in a supervisory or lead role preferred.
- Background sourcing and ordering parts and materials for AOG and Scheduled maintenance events.
- Strong knowledge of FAA regulatory compliance regarding parts and materials.
- Proficient in inventory management software and Microsoft Office Suite.
- Forklift certification preferred or ability to obtain.
- Strong organizational, communication, and leadership skills.
- Ability to travel as required.
- Must be able to lift up to 50 lbs. and work in warehouse environments.
- Experience with Embraer Processes is preferred.
CERTIFICATIONS, LICENSES, AND OTHER SPECIAL REQUIREMENTS:
- Must be able to successfully pass Twelve- Five Standard Security Program (TFSSP) Background Check
- Comply with company drug and alcohol program (FAA/DOT Standards)
- The following certificates must be always valid: (Must be able to obtain immediately upon hire):
- Shipping of Dangerous Goods by Air
- OSHA’s Hazard Communication Standard
- Shipping and Handling Hazardous Materials
- Shipping Fully Regulated and Excepted Lithium Batteries
- OSHA Forklift Certification
WORK ENVIRONMENT:
- Primarily warehouse and office-based, with occasional travel to off-site locations.
- Exposure to aircraft hangar environments, shipping/receiving areas, and occasional outdoor work.
