At a Glance:

H&P is seeking an Executive Assistant to support the CFO and the Finance leadership team. The role reports to the CFO.  This role will coordinate and manage executive scheduling, prepare and organize important strategic materials and plans, support board meetings and the preparation of board materials and assist with investor relations activities, including scheduling meetings with shareholders and development of related materials. This role serves as the eyes and ears for the CFO, connecting organizations, projects, and critical business information to the CFO, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the business.

The dynamic nature of this role requires that the ideal candidate has exceptional time management skills and the ability to identify and anticipate the CFO’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Executive Management Team, Board of Directors, and leaders that report to the CFO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

This position is expected to be filled in Tulsa, OK or the greater Tulsa area.

 What you will do: 

  • Work directly for the CFO to support all aspects of the daily routine.
  • Maintain the CFO’s calendar, including scheduling meetings, appointments, external engagements, and domestic/international travel.
  • Provide administrative and logistical support to the Finance leadership team, including calendar management, meeting coordination, and travel arrangements.
  • Assist with the preparation of Investor Relations material such as investor decks, press release coordination and conference materials
  • Receive and screen calls, emails, and visitors; respond or redirect with tact, diplomacy, and prioritization.
  • Determine priority of matters for the CFO and handle or reassign as appropriate.
  • Keep the CFO informed of time-sensitive and high-priority needs and ensure proper follow-up.
  • Perform a wide range of administrative duties including printing, copying, filing, mail handling, and maintaining directories.
  • Prepare correspondence for CFO signature.
  • Schedule departmental meetings and prepare/distribute agendas and materials.
  • Prepare, reconcile, and submit expense reports.
  • Maintain confidential and sensitive information.
  • Attend meetings and prepare initial drafts of minutes and summaries.
  • Complete special projects including PowerPoint presentations, financial spreadsheets, reports, and board materials.
  • Perform additional duties or support other Executives or departments as needed.

What you need:

  • Strong written and verbal communication skills with excellent research and organizational capabilities.
  • Ability to maintain strict confidentiality with sensitive and proprietary information.
  • Minimum 5 years of experience supporting C‑suite executives in a fast-paced environment.
  • Demonstrated experience managing complex calendars, executive-level priorities, and cross-functional coordination.
  • Bachelor’s degree preferred.
  • Advanced proficiency in Microsoft Office (PowerPoint, Excel, Outlook) and ability to learn new systems.
