The Senior Business Operations Coordinator works together with the Executive Vice President (EVP), Associate Executive Vice President (AEVP) and the Senior Vice President of Health (SVP) on initiatives, projects and activities providing administrative support that results in successful, best-in-class operations. The Coordinator will collaborate with internal and external stakeholders including, but not limited to, the region Board of Directors, Health and Research Committee, top donors, National Center staff, and region staff to achieve expected outcomes.  

The location is flexible to locations within the Midwest region with cost-effective access to travel across the territory served and convenient proximity to a major airport. This is a full-time position.

Responsibilities

  • Manages all administrative aspects for the EVP, AEVP and SVP of Health initiatives, projects, and activities including direct administrative support, executive calendaring, maintaining travel schedule and details, meeting communications development and management, conducting research, investigating information, creating, and editing PowerPoint presentations, expense management and processing.
  • Develops strong interpersonal relationships with staff at all levels to ensure desired outcomes are achieved.
  • Keeps the EVP, AEVP and SVP of Health apprised of challenges facing volunteers, offices, and/or staff, to help ensure issues are appropriately addressed in a timely manner.
  • Manages and creates communications and key messaging to ensure accuracy and consistency.
  • Manages content using technology needed for monthly region town hall meetings and other meetings as assigned.
  • Responsible for the execution of region board orientation, board meetings, and onsite region meeting management, including scheduling, developing and managing the agenda, exhibits, and day of PowerPoint(s) including managing the technology and post-meeting communications, managing meeting logistics including travel and hotel accommodations.
  • Schedules a regular cadence for meeting with region board executive leadership, including providing any necessary meeting materials.
  • Develops and implements a year-round region board member engagement plan and tracks board member activities and progress against the strategic focus areas identified by the region board and EVP.
  • Helps to ensure region and local market connectivity by coordinating local market board meeting visits with SVPs/EDs for EVP, AEVP and SVP of Health to attend.
  • Collaborates with the SVP of Health Strategies and the AEVP to establish and manage the monthly reporting/projections for region. i.e., weekly revenue report, monthly communications, and community impact reports.
  • Serves as the administrative lead for Gold Standard Board. Works in collaboration with the SVP of Health to manage the Gold Standard Board process for the region, including timeline development, training for local market administrative team members, developing reports on market criteria accomplishments. Assists in the Gold Standard Board virtual celebration each year.  
  • Lead and administer the region’s process for the national and region board and committee nomination process, as well as the region and national volunteer awards programs.
  • Establishes a process for maintaining a robust volunteer leadership pipeline, in collaboration with field staff leaders.
  • Responsible for scheduling region’s nominating committee meeting, including managing the development of the agenda, tracking board demographics, slate management, awards for region board members and necessary follow-up.

 

Qualifications

Required Experience:

  • Requires broad knowledge of operational systems and practices.
  • Requires high school diploma or equivalent and minimum 5 years relevant work experience.
