Job Summary:
The Smile Express Field Treatment Coordinator is responsible for representing Smile Doctors at various pop-up activations, engaging with potential patients, and driving Smile Express treatment conversions. This position travels to designated event locations to generate leads, conduct smile simulations, and guide prospective patients through the consultation and treatment start process.
Essential Duties and Responsibilities:
• Set up and maintain an engaging and professional booth presence
• Ensure all marketing materials, smile simulation tools, and scheduling resources are readily available
• Collaborate with brand managers and other team members to optimize event success
• Approach and engage with potential patients and educate them on Smile Express, its benefits, and the treatment process
• Perform virtual smile simulations and provide a high level of customer service to spark interest and personalize the experience
• Collect lead information for follow up and tracking
• Assist interested individuals in scheduling Smile Express consultations
• Effectively communicate pricing, financing options, and treatment timelines
• Follow up with leads as needed to encourage treatment starts
• Convert new patient exams into signed contracts to meet production goals
• Complete all necessary documentation with the responsible party prior to appointment
• Explain treatment plan benefits, overcome objections, and provide reassurance to guide leads toward treatment commitment
• Present payment options to responsible party and arrange financial payments to begin treatment
• Maintain accurate documentation for treatment recommendations, charting and patient communication records in practice management software
• Maintain accurate records of leads, scheduled consultations, and treatment starts
• Provide feedback on event performance, engagement rates, and opportunities for improvement
• Perform other duties, as assigned
Knowledge, Skills, and Abilities:
• Basic proficiency with Microsoft Office applications, including Excel
• Solid customer service and problem-solving skills
• Solid written and oral communication skills
• Solid organizational and time management skills
• Ability to overcome objections from responsible parties and patients
• Ability to balance multiple priorities
• Ability to establish and maintain good working relationships with patients, responsible parties, and team members
Minimum Qualifications – (Education, Experience, Certification, & Licensure):
• High School Diploma or equivalent
• External candidates: One (1) year of experience in direct-to-consumer sales position required
• Internal candidates: One (1) year in a patient-facing role with Smile Doctors or affiliated practice demonstrating satisfactory performance and attendance in current role required

• Typically working onsite at a designated event or in a clinical environment which can be noisy and distracting
