The Senior Administrative Coordinator I works under general direction to coordinate administrative support operations for the Texas A&M Chemistry Department. This role exercises discretion and independent judgment on matters of significance, ensures the effective functioning of departmental administrative processes, and provides supervision to assigned staff.

Opportunities to Contribute

  • Coordinates and plans administrative activities, services, and support functions for the department.

  • Provides advanced administrative support to leadership while maintaining confidentiality.

  • Serves as the primary administrative contact for staff by offering guidance on procedures and activities.

  • Assists the Assistant Department Head with preparing documentation, correspondence, and spreadsheets.

  • Participates in the planning, execution, and evaluation of administrative operations and objectives.

  • Prepares, reviews, and evaluates operational and special reports for leadership.

  • Develops administrative objectives, strategies, and operating practices to support departmental goals.

  • Monitors project timelines, identifies issues, and ensures compliance with policies and procedures.

  • Formulates and implements management policies and procedures while ensuring departmental compliance.

  • Coordinates the completion and processing of security, safety training, and compliance forms for staff.

  • Supervises assigned staff, provides direction, and determines work priorities.

  • Communicates leadership decisions and objectives to staff on behalf of administrators.

  • Assists with the development and preparation of budget and financial documents.

  • Coordinates office records retention, maintains office resources, and provides support for mailroom operations and department parking services.

  • Supports the issuance, tracking, return, and documentation of departmental keys.

  • Coordinates administrator travel arrangements and prepares detailed itineraries.

  • Makes arrangements for visitors and dignitaries and supports visiting scholar submissions, tracking, and verification.

  • Plans and coordinates meetings, seminars, committee agendas, and special departmental events.

  • Evaluates documents submitted for administrator signature to ensure accuracy and completeness.

  • Serves as backup property officer and assists with inventory certification and tracking.

  • Acts as a liaison with internal teams and departments and provides expert procedural advice to program directors.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.

  • Six years of experience in office administration.

A well-qualified candidate for this position will also possess:

  • Administrative experience in an academic setting. 

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Interpersonal and communication skills.

  • Planning and organization skills.

  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

  • Ability to multitask and work cooperatively with others.

Salary: Compensation will be commensurate based on the selected candidate's education and experience.
