Job Summary
The Administrative Assistant will be a key member of the Engineering team, providing comprehensive administrative support to ensure the efficient operation of the department. The ideal candidate will be a proactive, detail-oriented individual with excellent organizational and communication skills, capable of managing a diverse workload in a fast-paced environment.
Essential Duties/Responsibilities:

- Administrative Support
- Provide general administrative support to the engineering staff, including managing correspondence, answering phones, and handling inquiries.
- Prepare and edit documents, reports, presentations, and engineering submission packages.
- Maintain and organize departmental files, records, and project documentation.
- Serve as a liaison to the Risk Department to provide feedback from Operations and Engineering as needed.
- Scheduling & Coordination
- Manage complex calendars for senior staff, scheduling meetings, appointments, and conference calls.
- Coordinate internal and external meetings, including booking facilities, preparing agendas, and distributing materials.
- Make travel arrangements for the team, including booking flights, hotels, and transportation.
- Help coordinate planning and scheduling of various educational programs presented by the Engineering Dept. (i.e.- Centrifuge School, Boiler School, etc.).
- Project Support
- Assist in tracking project timelines and expenditures.
- Prepare and process purchase orders, invoices, and expense reports.
- Maintain a Capital Inventory spreadsheet.
- Maintain Capital Expenditure spreadsheet to help manage US Operations Capital tracking.
- Develop and maintain tracking for Boiler Inspections, Carrier Risk Engineering reports, Infrared Inspections, and Vibration Analysis.
- All other duties as assigned by management.
Minimum Qualifications:
- High school diploma or equivalent is required. An Associate's or Bachelor's degree in Business Administration or a related field is preferred.
- 3-5 years of experience in an administrative support role, preferably within an engineering, construction, or technical environment.
- Proficiency in the Microsoft Office Suite (Excel, Word, Outlook).
- Exceptional organization and time-management skills with a proven ability to manage multiple tasks simultaneously.
- Experience with data entry and maintaining accurate records.
Preferred Qualifications:
- Experience with Project Management Software and Oracle or a similar ERP system.
- Communicates clearly in verbal and written form.
- Excellent math skills.
- Ability to work independently and as part of a team.
