About the role

Description

We are looking for a Professional/Personal Assistant to support our growing business.  In this role, you will support our CEO by completing personal and professional tasks to maintain organization and promote efficiency both at his personal home and in the company office. You will perform a variety of detail-oriented and complex administrative tasks and projects, the success of which is measured by your ability to follow through on tasks and work in tandem with the needs of the CEO.  You will be working for and with someone who is both fast-moving and orientated, and you will need to be able to anticipate needs, think critically, and provide updates and recommendations while executing tasks and completing projects This role also requires high levels of professionalism, EQ, and confidentiality 


The Company office and CEO’s home are in Mason, OH, and you will report to the Executive Assistant to the CEO. This is a full-time position expected to be 40 hours per week with a flexible work schedule; however, one weekend day of availability is typically needed, averaging 2-3 hours.


Responsibilities

To support Interlink’s CEO with personal errands/tasks including, but not limited to:

  • Grocery and personal/general shopping, including completing research, comparing options, and returns as needed
  • Laundry and dry cleaning
  • Home maintenance tasks including cleaning (mostly maintenance in between bi-weekly deep cleans by a cleaning company), organizing, and maintenance services as needed
  • Banking and mail/shipping
  • Coordinate schedules and appointments across multiple projects with contractors/cleaners/repair teams
  • Car maintenance (hand washing, maintenance appointments)
  • Personal driver for special events – car supplied (concerts, sporting events, airport, etc.)
  • Light meal preparation
  • Other errands as needed to help facilitate smooth household management

To provide support to business operations, including:

  • Data entry and develop documents
  • Track and submit expenses
  • Keep the office organized and clean (in-between weekly cleans by a cleaning company), occasional weeding, outside upkeep
  • Manage office supplies inventory
  • Coordinate deliveries and services with outside vendors
  • Package shipping for office – new hire mailings, marketing materials
  • Plan events for both personal and business activities
  • Order and manage catering for office events
  • Other duties as required


Requirements

  • 1+ year experience supporting multiple tasks or projects simultaneously; experience as a senior leader in a professional or personal capacity or 1+ year preferred but not required
  • Detail-driven and focused with strong organizational skills to balance multiple tasks and priorities simultaneously
  • Ability to follow through with tasks to completion, including providing checkpoints and status updates throughout longer tasks and projects; knowledge of general project management frameworks is useful, though not required
  • Ability to proactively identify and resolve problems while providing consistent communication to all stakeholders
  • Ability to research information and quickly summarize outcomes and learnings
  • Flexible and able to accommodate spontaneous routine/schedule changes
  • Independently able to prioritize and quality control work while accepting of guidance and feedback as needed
  • Strong written and verbal English communication skills to work across both professional and personal needs
  • Knowledgeable in Office products – especially Excel, Word, Outlook, and SharePoint
  • Able to lift at least 20 lbs.
  • Active driver’s license with a clean driving record
