About the role
What You’ll Do
As the Special Education and Data Clerk at Veritas Prep High School, you’ll be an integral part of the School Operations and Special Education Team, playing a central role in ensuring the efficient operation of student records, scheduling, communication, and compliance with state and federal regulations. This role requires attention to detail, organization, and the ability to maintain confidentiality in all aspects of the job. You’ll also:
- Administrative Support
- Answer phones, take messages, and respond to inquiries
- Serve as a liaison between the school and families by assisting with enrollment, responding to inquiries, and providing general support to students and their families.
- Support and backup front office staff and Early College program
- Assist in ordering school supplies and organizing of purchase orders, invoices etc
- Track and manage school supplies, equipment, and resources, ensuring adequate stock and efficient use.
- Assist in organizing school events, including meetings, field trips, student led conferences, extracurricular activities, and special programs, ensuring everything runs smoothly.
- Student Records Management:
- Maintain accurate student records, attendance logs, and other essential databases, ensuring confidentiality and compliance with school policies.
- Maintain accurate and up-to-date special education student records, including IEPs (Individualized Education Plans), assessments, and other related documentation.
- Process and track IEP meeting schedules and documentation.
- Ensure all student information is maintained with the utmost confidentiality and in compliance with the Family Educational Rights and Privacy Act (FERPA)
- Assist in the preparation and maintenance of Special Education student records.
- Ensure that Individualized Education Plans (IEPs), assessments, and other relevant documents are properly filed and updated.
- Assist in ensuring compliance with district, state, and federal special education regulations
- Prepare reports and fulfill records requests
- Data entry and Reporting
- Enter data into the school’s databases (PowerSchool, CPP, Frontline etc) and ensure that all required information is up to date and accurate
- Assist in preparing reports for audits and compliance reviews.
- Act as the liaison between teachers, service providers and families to ensure all necessary paperwork is completed in a timely manner.
- Manage, audit, and update student information and records in student information systems
- Compliance and Documentation
- Support the department in maintaining compliance with local, state, and federal regulations.
- Assist with ensuring proper documentation for IEP meetings, evaluations, and annual reviews.
- Help prepare reports related to student progress and Special Education services.
- Communication and Coordination
- Communicate effectively with parents, staff, and external agencies regarding Special Education services and student needs.
- Assist with daily administrative tasks such as managing correspondence, scheduling meetings including IEP meetings, maintaining school records, and processing documents.
- Schedule student testing with internal and external service providers
- Assist Special Education teachers and staff with general clerical tasks, including preparing materials for meetings and events, photocopying, and filing.
- Support families and student with fulfilling transportation requests per the student’s IEP.
- Schoolwide systems and Procedures
- Support school systems and procedures (arrival, lunch, dismissal, etc)
- Assist in monitoring and implementing safety protocols, including emergency drills, health and safety regulations, and reporting any incidents or concerns.

Requirements
What You’ll Need
- You must be 21 years or older with a valid license for 3 years and a clean driving record
- Have or be willing to obtain RMV 7D training
- Strong communication skills, both verbal and written
- Strong computer skills, including Microsoft Office, Word, Excel, Google Suite
- Ability to work independently on a variety of tasks
- Strong interpersonal and communications skills with vendors, students, parents/families, colleagues, and community members
- Previous experience in operations (experience in school operations preferred)
- Strong attention to detail and follow-through
- Strong time management skills and the ability to manage multiple tasks
