Job Summary

The Administrative Assistant supports daily operations within the generator distribution department, ensuring accurate documentation, smooth communication, and efficient coordination between customers, vendors, technicians, and internal staff. This role is essential to maintaining organized workflows, timely order processing, and exceptional customer service in a fast‑paced equipment‑based environment.


Responsibilities

  • Manage incoming calls, emails, and customer inquiries related to generator sales, service, and delivery
  • Prepare and process quotes, sales orders, purchase orders, and warranty registrations
  • Maintain organized digital and physical files for generator units, transfer switches, permits, and customer records
  • Coordinate scheduling with installers, technicians, and logistics partners
  • Track inventory levels, incoming shipments, and outgoing generator deliveries
  • Assist with permit applications, documentation, and compliance requirements
  • Support the sales team with product literature, pricing updates, and customer follow‑ups
  • Enter and update data in CRM systems, spreadsheets, and internal tracking tools
  • Prepare reports, correspondence, and internal communications as needed
  • Maintain office supplies, forms, and administrative materials for the distribution team


Requirements

  • High school diploma
  • 1–3 years of administrative or office support experience (equipment, construction, or distribution industry experience is a plus)
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent communication and customer service skills
  • Strong organizational skills with high attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Comfortable working with technical product information
  • Professional, friendly, and customer‑focused
  • Self‑motivated with strong follow‑through
  • Able to work independently and as part of a team
  • Willingness to learn generator product lines and industry terminology


Preferred:

  • Associate degree preferred

 

Must submit a background check and drug testing
