Job Description
This is a professional and highly responsible Civil Case Management position within the Administrative Office of the Courts, Civil Case Management department. Work involves the use of Differentiated Case Management techniques in Circuit Civil case type to promote case progression and disposition. The primary responsibility of an employee in this class is case screening and monitoring, case analysis and coordination of related civil law cases. This position will work closely with the Judiciary, Court and community programs, Civil/Family Director, Attorneys, the Clerk of Courts, and other related agencies as well as the general public. Work is performed under the direct supervision of the Civil Manager.
Primary responsibilities of a Court Program Specialist II (Civil Case Manager) include the following: (1) Court Case Management; (2) Case Monitoring and Coordination; (3) Case Research and Follow-up; (4) Other Duties as Assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES

(1) Court Case Management
Schedule case management conferences and appropriate hearings
Conduct case management conferences and facilitate civil cases in court
Process and prepare court orders
Prepare other orders as determined by the Judge
Monitor compliance with court orders
Assist petitioners, respondents, pro se litigants and attorneys with case plans in court in office, by phone or via zoom
Respond in a timely manner to inquiries from all parties directly related to the case
Respond to inquiries from court staff, clerk staff and related agencies regarding case management and movement
(2) Case Monitoring and Coordination
Query various data bases to determine the status of cases
Seek the assistance of and provide assistance to other court staff when necessary
Coordinate cases and services to promote efficiency in the civil division
Coordinate case management throughout the division and prepare required document, notices etc. to facilitate the case flow between related departments.
(3) Case Research and Follow-up
Research cases for effectuation of service, recent motions and responsive pleadings
Advise judiciary of status updates and compliance issues
(4) Coordination of Work Flow and Information
Work with staff from various departments within the Civil Division to coordinate information
Assist case management staff with case movement and coordination/scheduling of court events
Disseminate relevant information as deemed appropriate by case management supervisors
(5) Other Duties as Assigned

Education and Training Guidelines
Bachelor’s degree in public or business administration, criminal justice, psychology, sociology, pre-law or a closely social science related field. Progressively responsible experience in program implementation or evaluation may substitute for the recommended college education on a year-for-year basis.
Three years of professional, administrative, analytical related work experience. Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.
