About the role

Position Summary

San Diego State University is seeking a highly organized and proactive Division Coordinator to support the Division of Research and Innovation. In this role, you’ll serve as a key operational partner—coordinating administrative, fiscal, and external engagement activities while supporting leadership and ensuring smooth day-to-day operations.

Key Responsibilities

  • Executive & Office Coordination
    • Coordinate complex calendaring, scheduling, and travel arrangements for senior leadership.
    • Organize meetings, prepare agendas and materials, and ensure timely follow-up on action items.
    • Support day-to-day office operations, including supply coordination and shared space needs.
  • External Engagement & Communications
    • Serve as a point of contact for internal and external stakeholders, including faculty, administrators, and partners.
    • Support corporate and foundation engagement efforts through coordination, tracking, and reporting.
    • Assist with planning and execution of meetings, events, and outreach initiatives, including creating communications and promotional materials.
  • Project & Data Coordination
    • Coordinate projects and reporting efforts, helping track progress and meet deadlines.
    • Maintain and update databases, track engagement activities, and generate reports using CRM and research tools.
    • Conduct research and compile briefing materials for leadership.
  • Financial & Administrative Support
    • Process purchase requisitions, reimbursements, travel claims, and expense reports.
    • Reconcile transactions and support financial tracking across funding sources.
    • Collaborate with internal teams to ensure accurate and compliant financial operations.

Position Information

  • This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position.
  • This position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs. (Ability to travel and work occasional evenings/weekends to support events and duties on and off campus.)
  • This position is eligible for telecommuting up to 1 day per week with onsite work in San Diego.
