Your Specific Responsibilities:
This is a specialized clerical position responsible for independently processing patients accessing the Florida Department of Health in Okeechobee County (DOH-Okeechobee County) clinical services which includes scheduling, registration, clinic check-in/out and Health Information Management. This individual collects fees and performs billing functions and must be able to accurately enter data into the state automated Health Management System (HMS), retrieve client information, and print out labels and reports. This position communicates with physician offices and other professional organizations to obtain necessary client and/or service information. The incumbent is expected to be responsible for interpreting as needed to facilitate client’s service as well as perform cashiering duties. This position reports directly to the Senior Community Health Nursing Supervisor.
QUALIFICATIONS:
A High School Diploma or equivalent is required. A valid Florida ID is required. Fluency in English both verbally and written is required, while fluency in English & Spanish, both verbally and written, is preferred. Incumbent may be required to work before, during and/or beyond normal work hours in the event of a disaster or as needed. EMERGENCY DUTY: Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or perform other emergency duties including, but not limited to responses to or threats involving any disaster or threat thereof, man-made or natural.
MAJOR DUTIES AND RESPONSIBILITIES:
This position serves as clerk of the Front Desk and Medical Records section:
- Registers clients for clinic services in HMS completing all client data entry and updates as necessary while determining client financial eligibility. Collects all client and household documents needed to verify eligibility status.
- Verifies client payment status regarding past-due billing invoices. Reviews Payment Services Policy with all clients prior to visit.
- Prepares Client visit by preparing all labels, documentation, medical records, etc.
- Completes data entry into the HMS and Florida Shots system as required.
- Creates new patient charts in HMS known as Electronic Health Record (EHR), or Electronic Medical Record (EMR). Maintains EHR’s and EMR’s with updates by scanning and uploading all appropriate documents.
- Prepares daily schedule for all clinic visits.
- Ensures that all existing client records/documentation are readily available prior to appointment time.
- Confirms scheduled appointments the day before by pone
- Maintaining confidentiality and security of all records.
- Fulfills requests for incoming medical records as requested by physicians and/or clients. Completes and delivers requests for outgoing medical record fulfillment.
- Process records sent to storage and retrieves records according to retention schedules
- Must adhere to HIPAA/Information Security Policies and Procedures
- Maintains all clinic information, forms, documentation, and procedure manuals up to date and readily available upon request.
- Inputs Healthy Start Infant and Prenatal Screening into HMS daily. Makes copies for Healthy Start and Healthy Families. Complies information needed for monthly and quarterly reports to be submitted to Healthy Start.
- Acts as a Deputy Registrar (DR) covering lunch schedule daily and as needed working under the direction of the Local and Chief Deputy Registrars for Okeechobee County on all Vital Statistic matters processing any/all correspondence in addition to accepting, reviewing, and completing all application request as needed.
- Performs receptionist duties at front desk by answering telephones promptly, receiving and transferring calls, writing, and delivering accurate and precise messages, greeting customers in a professional manner, giving clear and concise information/directions in response to inquiries. Communicates well with customers verbally and in writing.
- Responsible for cashiering functions for Okeechobee County Health Department Vital Statistics and clinic.
