Reporting to the Advisors to the First Deputy Managing Director (FDMD) and working as a team with the Senior Administrative Coordinator, the selected candidate will perform a wide range of secretarial and administrative duties, with primary responsibility for all aspects of the FDMD’s travel and processing of papers received for clearance/review. The chosen candidate will work closely with the Advisors and Senior Administrative Coordinator to support the smooth day-to-day operations of the Office, liaising as needed with Fund staff, other Management offices, the Executive Board, member countries, and other outside parties. While there will be a division of labor between the two Coordinators, both will be expected to be able to perform all the necessary tasks, and to back-stop each other as needed. 

 

The ideal candidate will be experienced and highly skilled in planning and managing travel arrangements, organizing events and engagements, managing appointments/calendar and working closely with the Advisors and the Administrative Coordinator to support the smooth day-to-day operations of the Office, liaising as needed with Fund staff, other Management offices, the Executive Board, member countries, and other outside parties. Given the sensitive nature of the work in OMD, discretion and diplomatic skills will be essential.  

Major Duties and Responsibilities

  • Anticipates and resolves competing priorities and escalates as appropriate.

  • Supports Senior Management and senior staff, in particular FDMD Gopinath and the Advisors in her office, by making daily administrative and operating decisions to ensure an efficient workflow in OMD, including with respect to management briefs and outreach products, in close collaboration with OMD staff and departments.  

  • Proofreads and edits documents on behalf of Advisors or the Chief of Staff to ensure compliance with IMF administrative procedures and guidelines.  

  • Provides input on workflow and operating processes, as well as knowledge transfer to other colleagues in OMD and DMD Offices. 

  • Liaises with internal and external stakeholders, including high-level delegations meeting with the FDMD 

  • Manages the FDMD’s Calendar, including scheduling meetings and requesting briefing materials, with guidance from the Chief of Staff and Advisors to the Managing Director. 

  • Manages travel arrangements for the FDMD and the Advisors in her office. 

  • Serves as a back-up to other Coordinators. 

Minimum Qualifications

Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of six years of relevant experience, is required. External candidates must have spent at least two of the six required years of experience in a lead role and must pass an online assessment test.

 

In addition to the qualifications set forth in the job standards, the selected candidate must possess: 

• excellent drafting, administrative, and organizational skills; 

• experience in organizing, coordinating, and managing high impact activities; 

• ability to work well under pressure, managing short deadlines and a complex and demanding workload; 

• independent judgment and discretion in handling sensitive and confidential information; 

• excellent oral and written communication and interpersonal skills; 

• a comprehensive knowledge of the IMF's administrative practices and procedures would be a plus; 

• flexibility in working hours and willingness to work overtime at short notice are essential; 

• excellent knowledge of Word, Excel and PowerPoint. 

Only candidates who are currently residing in the Washington D.C. metro area will be considered.

This vacancy shall be filled by a 3-year Term appointment in accordance with the Fund’s new employment rules that took effect on May 1, 2015.

A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.
