Summary:
Reporting to the Executive Director of Belonging and Engagement, the Administrative Assistant provides strategic administrative support, focusing on data analysis, reporting, and executive coordination to advance belonging and engagement initiatives.
Job Description:
Prepares reports, presentations, and briefing materials for the Executive Director and Executive Team; and collects, analyzes, and synthesizes qualitative and quantitative data to support decision-making.
Manages the Executive Director's schedule and prepares complex correspondence, speeches, and reports.
Assists with program-level special projects, including tracking progress, coordinating resources, and preparing status reports.
Oversees daily office operations, including HR and Finance-related tasks, and supervises student workers.
Provides administrative and logistical support for campus programming, community outreach, and events.
Coordinates travel arrangements and expense reimbursements; and arranges honoraria for speaking engagements.
Collaborates with campus units to implement special initiatives; and maintains awareness of campus activities and shares relevant information with staff.
Manages document flow, maintains confidential files with discretion, and ensures professional representation of the office.
Adheres to safety protocols and reports hazards promptly.
Establishes and maintains a positive and supportive working relationship with co-workers and supervisors.
Demonstrates a genuine commitment to belonging in the workplace and participates in activities and workshops to foster continuous learning.
Serves as a mandatory reporter under Title IX; and commits to completing Title IX training and other compliance requirements on an annual basis.
Prioritizes safety in the workplace as a collective responsibility for the well-being of employees and fosters a culture of safety that is integral to our success, including strict adherence to safety procedures and protocols, as well as promptly reporting any safety hazards or incidents.

Required Qualifications:
Bachelor’s degree.
A minimum of two years of experience with office administration, program coordination, or a related field.
Ability to communicate in American Sign Language.
Preferred Qualifications:
Experience working in a higher education institution.
Knowledge, Skills, and Abilities:
Strong organizational, interpersonal, and communication skills.
Strong ability to deliver exceptional customer service in a fast-paced, dynamic environment.
Strong skills with navigating Workday and project management tools (e.g., Cascade, Asana).
Strong skills in Microsoft Office applications, including Word, Excel, and PowerPoint.
Strong skills in organizing and managing files using collaborative platforms (e.g., Google Drive, Microsoft Teams).
Strong ability to work independently, prioritize tasks, and manage multiple responsibilities effectively.
