Position Summary
The Administrative Assistant plays a vital role in supporting the Distribution & Warehousing Director. With a wide range of administrative duties, this dynamic individual ensures smooth operations by answering phones, crafting compelling memos, and facilitating seamless internal and external communication. Additionally, their expertise in creating and managing excel and word documents adds an extra layer of efficiency to the team.
Additional responsibilities include, but are not limited to:
- Produces departmental information by transcribing, formatting, editing, filing, retrieving, copying and transmitting documents
- Manages departmental schedule by maintaining calendars, arranging meetings and scheduling travel
- Involved with day-to-day administrative functions which may include answering phones, report generation, responding to inquiries, and other clerical tasks
- Complies with company policies and procedures and maintains regular work attendance
- Prepares documents for imaging. Screens documents for completeness and accuracy. Scans and indexes documents into electronic filing system, ensuring documents are accurately sorted and maintained by appropriate document types.
- Prepares training or informational materials for presentations.
- Provides general office support such as copying, faxing, assembling materials, and maintaining office supplies.
- Prepares documents and composes routine correspondence.
- Gathers information, conducts basic data analysis, and assists in the development of reports.
- Responds to requests for personnel records and employee information.
- Maintains a positive service orientation with staff, and external customers.
Qualifications
- Previous full-time experience directly related to the duties and responsibilities specified preferred
- High school diploma or general education degree (GED) required
- High level of organizational skills, good written and oral communication skills
- Ability to work independently and meet deadlines
- Must be able to multi-task and follow-up when responses are needed
- Basic mathematical skills
- Must be able to respond to verbal and written instructions
- Any equivalent combination of exp
