Logan Health is seeking a PRN Guest Services Program Coordinator to provide essential support for our Guest Services Department. As a key member of this team, you will help coordinate short-term and long-term housing accommodations for patients and their families while they receive medical care or procedures. Your role will ensure seamless communication, excellent customer service, and smooth program operations.

Key Responsibilities:

  • Answer emails and resolve guest service inquiries.

  • Assist with property showings and reservations

  • Process and review incoming referrals.

  • Perform some billing duties and ensure program eligibility guidelines are followed.

  • Provide outstanding customer service to patients and their families

  • Collaborate with housekeeping, hotel staff, and other internal staff to coordinate services.

What you'll need to have:

  • Strong computer skills and the ability to manage administrative tasks efficiently.

  • Excellent customer service skills with a compassionate, patient-focused approach.

  • Ability to handle sensitive information and difficult situations tactfully and professionally.

  • Strong communicator who can effectively coordinate with multiple teams.

  • Experience in hospitality, healthcare, or customer service is highly desired.

  • Knowledge of Medicaid and other payors is a plus.

Position location and coverage:

This position will primarily be working remotely from home, but requires occasional onsite work to address any issues that arise and to provide property tours. *You must reside with in a 30 mile radius of Kalispell, MT, to be considered for this position.

This role will primarily provide coverage for evenings and weekends in addition to coverage for vacations and sick calls.

Qualifications:

  • Minimum of one (1) of the following required as applicable to assigned area(s).

    • Minimum of two (2) years’ experience in a healthcare environment working with complex administrative support tasks.

    • Minimum of three (3) years’ experience in a medical setting.

    • Minimum of two (2) years’ experience in a similar role.

    • Minimum of three (3) years’ experience in customer experience, employee experience, or human resource experience role

  • Additional requirements as applicable to assigned area(s):

    • Strong computer skills and working knowledge of Microsoft Office and Excel

    • Demonstrated problem solving, and analytical skills.

    • Proficient in the use of spreadsheets and database management.

  • Excellent organizational skills, detail-oriented, a self-starter, possess critical thinking skills and be able to set priorities and function as part of a team as well as independently.

  • Commitment to working in a team environment and maintaining confidentiality as needed.

  • Excellent verbal and written communication skills including the ability to communicate effectively with various audiences.

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

  • Possess and maintain computer skills to include working knowledge of Microsoft Office Suite and ability to learn other software as needed.

Job Specific Duties:

  • As applicable to assigned area(s); serves as the organizational expert for program standards; creates program materials, establishes staffing requirements, and ensures the program achieves stated objectives. 

  • As applicable to assigned area(s); provides administrative support to leadership, which may include, but may not be limited to; correspondence, scheduling, coding and processing of department invoices, implementation of program policies/procedures; maintains leadership’s calendar, monitors emails and phone logs; assists with hiring documents and process, orientation, ongoing education, performance evaluation documents, maintains files, and provides support within the department as requested.
