About the role

The NI IPN organization is now looking for an Executive Assistant to join their team in Sunnyvale, California. As Executive Assistant to several directors, you will be a key player in ensuring the smooth operation of their day-to-day activities. You will be responsible for managing their calendar, coordinating meetings, arranging travel, and providing administrative support, all while maintaining the highest level of discretion and confidentiality. 

This role works collaboratively with the other EA’s in the group. This role would interface mainly with other executives, managers, employees and vendors based in the SV campus. 

 

  • Plan and arrange complex travel itineraries, schedule appointments, and process expenses.
  • Provide assistant support services in the Sunnyvale, CA office for our executives.
  • Organize and facilitate meetings, including booking facilities, distributing materials (minutes, presentations), and managing follow-up actions.
  • Assist in the production of presentation materials and the coordination of internal and external events.
  • Interact and coordinate with members of the Product & Engineering leadership team, BG management team, and other executive offices.
  • Continuously seek opportunities to improve processes, methods, and overall efficiency.
  • Proactively manage the executives' calendar, prioritizing appointments and ensuring efficient time allocation across multiple time zones.
  • Screen incoming topics, prioritizing and responding appropriately. Seek, update, and provide information, including research and compilation of reports, presentations, and organizational charts

     
  • 3-5 years of overall experience working in a fast-paced environment. 
  • Ability to handle information with discretion and confidentiality
  • Fluent English language skills (written and verbal)
  • Proficiency in MS Office Suite: excellent knowledge of Microsoft office applications, including Outlook, PowerPoint, Excel and Word. SharePoint and Teams knowledge is a plus.
  • Ability to create clear and concise communication in various formats
  • Track record of strong executive assistance experience
  • Excellent planning skills, with the ability to manage complex calendars across multiple time zones and prioritize tasks in a fast-paced environment.
  • Strong organizational skills with the ability to think critically, solve problems effectively and make decisions
  • Strong attention to detail and a commitment to delivering high-quality work

This is an On-site position in Sunnyvale: Candidate must be local to Sunnyvale, CA
