Our marketing team is dynamic, fast-paced, and instrumental in driving the company’s growth. We are looking for a highly organized and proactive Executive Assistant (EA) to support our Vice President of Marketing and ensure seamless operations within the department.

In this role, you will be a critical partner who can seamlessly manage executive calendars, drive operational excellence, and contribute to key projects. The EA will act as a strategic liaison between the executive team and internal/external stakeholders, ensuring effective communication and alignment.

Location: 100% Remote (US Only)
Compensation: $74,000-84,000 + Benefits package

Executive Support:

  • Manage complex and dynamic calendars for the VP of Marketing, including scheduling, rescheduling, and prioritizing appointments to ensure alignment with organizational priorities.

  • Read, flag, file, and respond to emails on behalf of the Vice President.

  • Arrange and monitor travel plans, itineraries, and agendas. Ensure seamless travel experiences, especially for executive offsites or conferences.

  • Prepare and edit correspondence, presentations, reports, and other documents with precision and professionalism.

Confidentiality and Stakeholder Management:

  • Handle highly sensitive and confidential information with the utmost discretion.

  • Serve as the primary gatekeeper for executives, ensuring efficient communication flow, chain of command adherence, and professional interactions with stakeholders at all levels.

Operational Project Management:

  • Monitor and support high-level operational projects, ensuring timelines, deliverables, and key objectives are met.

  • Track key marketing initiatives, deadlines, and deliverables, ensuring alignment with company objectives.

  • Identify and implement efficiencies to improve marketing team workflows.

Meeting Coordination and Follow-Up:

  • Prepare agendas, take meeting notes, and follow up on action items for leadership meetings, marketing team syncs, and external partner discussions.

  • Track and follow up on commitments made in meetings to ensure completion.

Event and Budget Management:

  • Plan and execute executive team events, offsites, and company-wide initiatives. Manage event budgets and logistics.

  • Monitor and manage expenses related to travel, events, and operational projects.

Cross-Functional Collaboration:

  • Maintain a strong understanding of business units to provide aligned support across organizational goals.

  • Act as a bridge between the executive team and other departments, ensuring clarity in communication and task alignment.

Knowledge, Skills, and Abilities:

  • Proven track record in supporting C-level executives.

  • Experience fully managing executive email inboxes.

  • Exceptional organizational skills, with a proven ability to manage multiple priorities and deadlines in a fast-paced environment.

  • Proficiency in remote collaboration tools and experience in a 100% remote work environment.

  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams), project management tools (e.g., Asana or Monday.com), and document collaboration platforms.

  • Strong written and verbal communication skills, with an ability to assist with preparing reports, presentations, and marketing performance summaries.

  • Ability to build and maintain relationships with internal teams and external partners, including high-profile stakeholders.

  • A proactive, problem-solving mindset with the ability to anticipate needs and recommend solutions.

  • Experience creating, reviewing, and proofreading executive-level financial and marketing reports using high-level data analysis skills.

  • High attention to detail and the ability to adapt to changing priorities.

Required Qualifications:

  • Minimum of 5 years of experience as an executive assistan
