SUMMARY
The Community Engagement division of the City of Charlotte’s Housing and Neighborhood Services department is a recognized leader in the area of empowering residents and youth to engage through leadership development and proactive community improvement through our model of information sharing, inclusion, planning, resource delivery and celebration of community efforts.The Administrative Assistant provides technical and organizational support under the supervision of the Community Engagement Division Manager. The Administrative Assistant is responsible for task and project-oriented work for the Division and a variety of work for the Division Manager, including managing calendars and meetings, developing presentations, researching policy and programs, and creating and managing data. The AOII has considerable contact with community-based organizations, corporate and nonprofit representatives, consultants, City officials, and City staff.
Major Duties and Responsibilities:
- Responsible for assisting the Division Manager with scheduling committee, board, and staff meetings, as well as managing Council, City Manager’s office, Department Head, public requests, and staff assignment follow up
- Coordinate special events
- Responsible for performing complex data entry, compiling reports, transcribing meeting minutes, and creating correspondence
- Assist staff with research, data collection, analysis, and report generation, including summarizing information from reports, workshops, questionnaires, and other resources
- Provide administrative support and monitoring for special projects
- Provide information in person and by telephone regarding community engagement programs and activities to both internal and external customers
- Serve as back up payroll approver for the Community Engagement Division Manager
- Provide contract monitoring and payment processing as needed
- Manage and reconcile P-card transactions
- Assist Division Manager and staff with travel and conference registration and reimbursements
- Assist Youth Programs with data and administrative support
- Perform other related duties as assigned
Knowledge, Skills & Abilities:
- Ability to work independently and establish and maintain effective working relationships while exhibiting a positive attitude
- Ability to communicate effectively both verbally and in writing
- Extremely detail oriented with strong organizational, problem solving, research and analytical skills
- Ability to handle confidential information professionally
- Prioritize and carry out multiple tasks and responsibilities with limited supervision
Preferred Qualifications:
- Working knowledge of government and non-profit resources
- Knowledge of Photoshop, Graphic Design and Munis
- Bilingual (English/Spanish)
Minimum Qualifications:
High School diploma with one year of relevant work experience or an associate’s degree. Must be proficient using Microsoft Office
CONDITIONS OF EMPLOYMENT
The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.

Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
