The Project Coordinator Team at Pella Northland is focused on delighting our customers in their interactions with Pella following the sale of our product and preceding the delivery or installation. They excel in making sure that the customer experience with Pella is world class by coordinating quoting, purchasing, scheduling, and delivery of customer orders. They play a critical role in explaining the process and what to expect out of it, as well as making sure their customers have everything they could need to have the best possible experience with Pella!
Here’s what winning looks like in this role:
Assist in verifying accuracy of quotes and orders by communicating with sales representatives, estimator, and customers, and having sound knowledge of PellaÒ products, systems, and procedures
Uses the Pella Quoting Management system (PQM), Order Management System (OMS), Salesforce, and other systems as necessary to quote, enter and process orders
Communicates with customers, contractors, outside vendors, and Sales department to coordinate product delivery details along with verification of addresses, phone numbers and directions.
Verifies contract/proposal product attributes to ensure the correct product is ordered, built, and delivered to the customer. Verify attributes and pricing is correct and inline with contract amounts.
Sends change order requests and enters total project costs in the project form to ensure contract is balanced throughout entire project.
Purchases product from vendors and Pella corporate manufacturing facilities
Manages orders in OMS including scheduling value add and coordinating and communicating the estimated ship date
Schedules the delivery utilizing Pella Corporation jobsite direct program, Pella branch fleet drivers and trucks, and 3rd party carriers. Schedules pick up of 3rd party trailers from jobsites
Manages recovery process for shortages and damaged product
Finds root cause of problems and help coordinate solutions and implement new processes to opportunities that arise during the duration of an order (missing product, damaged product, wrong product)
Promotes and facilitates continuous improvement activities in the department
Orders warranty & service product and applies for credit through Pella Corp Credit Portal
Processes and submits close out documentation
Schedules and coordinate Commercial installations and recovery appointments
Assists in quoting installation labor and materials
